Role Overview

The primary function of the Medical Client Experience Manager is to provide leadership and support to the client experience team to ensure seamless processes and patient care. The Medical Client Experience Manager will be responsible for liaising between the clinic and client experience departments, respond to medical inquiries, educate patients, and answering questions or concerns from the team.

Role Objectives

The Medical Client Experience Manager responsibilities include, but are not limited to:

  • Coach and Motivate: Supervising the Client Experience team to meet and exceed goals, targets, and provide the U-Experience.
  • Performing Administrative Tasks: Performing necessary outstanding tasks daily to provide consistent communication and patient care.
  • Maintain EMR Records: Accurately track all inquiries, follow-ups, and appointments in the clinic’s EMR system.
  • Answering Medical Concerns and Inquiries: Educating patients on dermatological concerns and inquiries, to provide in-depth patient care experiences.
  • Handle Pathology Reports: Communicating pathology results to patient with clarity, empathy, and professionalism.
  • Process Prescription Refills: Coordinating timely and accurate prescription refills in collaboration with providers.
  • Serve as a Liaison: Working with clinic and client experience departments to ensure fluidity in patient care and experience.
  • Coordinating Breaks: Daily coffee and lunch breaks for client experience staff.
  • Delegation: Daily housekeeping and miscellaneous tasks to client experience staff.
  • Follow Company-Wide Procedures: Disciplinary practices to manage employees as needed, ensure appropriate communication and documentation is kept.
  • Performing Other Duties: As requested by management.

Role Qualifications

  • Education: Licensed Practical Nurse Diploma from an accredited institution required
  • Current Registration: With applicable provincial licensing body
  • Current CPR Certification
  • Experience: 3+ years of proven private or public practical nursing experience and customer service work experience
  • Industry Knowledge: Experience within the medical and dermatological industry.
  • Communication Skills: Excellent verbal and written communication abilities
  • Technical Skills:

Proficiency in maintaining and updating a EMR system

Proficient in Microsoft Office Suite programs

  • Attention to Detail: Strong organizational skills and attention to detail
  • Additional Assets:

Ability to multitask and delegate

Experience in a telephone etiquette role is considered an asset

Ability to work in a fast-paced environment

Positive attitude and willingness to learn new skills

Ability to work as a team and independently

Flexible availability, willingness to work weekends and evenings
