Job summary

Canadian Mental Health Association Peel Dufferin is seeking a part-time Medical Administrative Assistant to support the RAAM team in Brampton, providing front desk coverage and essential administrative tasks.

You will handle office duties, coordinate scheduling, maintain confidential records, and assist with data entry and reporting for funders and programs. The role is 18.75 hours weekly, some evenings/weekends, with a salary of CAD 21,894.30–CAD 25,411.18.

Qualifications

  • Post-secondary diploma in Business/Office Administration – Health Services is required.
  • Minimum 3 years of related medical administrative support experience is preferred.
  • Prior experience managing client or health records and filing systems is preferred.
  • OHIP billing experience is an asset.
  • Fluency in a second language, including ASL is considered an asset.

Responsibilities

  • Support scheduled front desk reception coverage, welcoming clients and visitors.
  • Facilitate immediate requests and coordination with vendors and service providers.
  • Engage with clients to collect feedback and maintain confidential information.
  • Maintain supply inventory and order supplies as needed.

We're looking for a part-time Medical Administrative Assistant to join our team!

The Medical Assistant will provide support to the Rapid Access Addiction Medicine (RAAM) team, and carry out administrative tasks that impact daily operations, including front desk reception duties. They will be responsible for performing general office duties, including participating on organizational committees and providing project support.

Status: Permanent part-time, 18.75 hours Monday-Sunday, some evenings/weekends required. Note, this posting is for an active vacancy.

Salary: $21,894.30 - $25,411.18 annually based on part-time hours. (Candidate qualifications will be considered when determining the starting salary).

Location: This position is based out of 60 West Drive, Brampton. Due to the nature of this program, this role is on-site and/or community based.

What You Will Do:
  • Support scheduled front desk reception coverage, welcoming clients and visitors to our space; support clients with scheduled and walk in appointments
  • Facilitate any immediate requests and coordination such as receiving deliveries and engaging with vendors/service providers
  • Engage with clients to collect client feedback
  • Maintain supply inventory by checking stock to determine inventory level, replenishing supplies, ordering supplies as needed, verifying receipt of supplies, including both office and medical supplies
  • Act as a liaison between the Program Manager and staff to ensure appropriate coordination and follow-up on day-to-day needs
  • Manage and maintain confidential information
  • Where applicable, manage and maintain the Director and team’s work schedule
  • Maintain electronic filing system as needed. Enter and update client data and pull data reports for program managers and funders as required
  • Create, revise, and improve systems and procedures by reviewing operating practices, record keeping systems and forms; Implement changes as approved by Director
  • Perform other duties and responsibilities including special project support, as assigned by the Manager

What You Need to Join Our Team:
  • Post-secondary diploma in Business/ Office Administration – Health Services is required
  • Minimum 3 years of related medical administrative support experience is preferred
  • Prior experiencing managing client or health records and filing systems is preferred
  • Previous experience with OHIP billing is an asset
  • Lab certification and/or procedure training is considered an asset
  • Superior knowledge and understanding of administrative role supporting clients, management and physicians
  • Excellent knowledge of medical terminology, healthcare, office practices, procedures and standards
  • Self-motivated with demonstrated ability to function as part of an interprofessional multidisciplinary team and/or independently
  • Strong interpersonal skills with proven ability to approach, listen, build trust, and communicate across diverse cultures and intersectionality. Willingness to continually improve understanding around cultural competence.
  • Openness to operate from an anti-racist, anti-oppressive, 2SLGBTQ+ affirming and intersectional framework.
  • Willingness to learn and apply practical understanding of different elements of diversity, such as gender identity/expression, race/cultural background, religion, sexual orientation, disability, immigration and precarious status, family status, etc.
  • Fluency in a second language, including ASL (American Sign Language) is considered an asset.
  • Valid Canadian driver’s license and access to an insured automobile in good repair
