Maternal Medical Administrative Assistant
POSITION SUMMARY : Reporting to the maternal child program Manager, this individual will support the Medical Administrative Duties of the Obstetrical Department as part of an innovative service delivery model with Cochrane Temiskaming Children’s Treatment Centre (CTCTC).
POSITION RESPONSIBILITIES :
- Work closely with the Manager and Medical Chief of Obstetrics and a team of family physicians.
- Responsible for scheduling appointments for various obstetrical clinics.
- Collaborate closely with obstetricians, family physicians, and the Maternal Child Unit.
- Maintain confidentiality when handling sensitive information of the Manager and Medical Chief.
- Prepare schedules in collaboration with the manager, Medical Chief, and team of physicians.
- As a Meditech Provider Dictionary super user, enter new providers and update existing entries according to Meditech standards.
- Collaborate with team members and IS / IT to set up Meditech pneumonics for clinics.
- Assist in setting up an outpatient clinic charting system for Meditech Expanse.
- Collect, document, and produce weekly, monthly, quarterly, and yearly statistics and reports.
- Follow hospital policies and standards regarding patient safety and Occupational Health & Safety.
- Coordinate referrals, communication, and follow-up with families, community agencies, and specialists.
- Work with academic medical programs to schedule and facilitate medical learner and resident placements.
- Perform other duties as assigned to meet organizational goals.
POSITION REQUIREMENTS :
- Medical Administrative and/or Business Diploma or equivalent with obstetrical clerical experience; willing to complete an administrative course.
- Working knowledge and background in obstetrics.
- Recent experience supporting obstetrics medical administration.
- Scheduling experience is an asset.
- Experience with obstetrics flow and bookings is an asset.
- Excellent computer skills, especially in Microsoft Office programs including Outlook, Word, Access, Publisher, and Excel.
- Strong interpersonal and communication skills.
- Advanced organizational skills and ability to prioritize.
- Ability to work in a busy environment with concurrent demands and deadlines.
- Regular attendance and physical ability to perform role requirements.
- Ability to work sitting most of the day.
- Fluency in English and French; applications from those not meeting language requirements are encouraged for future consideration.
- Compliance with COVID-19 vaccination series as per Ontario Ministry of Health guidelines.
Compensation and Benefits
- Rate of Pay: To be determined based on experience and certification.
- Option to enroll in Healthcare of Ontario Pension Plan.
