Overview

We’re looking for someone who an articulate self-starter who takes initiative, is flexible and dedicated, to becoming an integral part of our team! In this role you’ll take full ownership of marketing execution for various client events. You’ll work closely with our internal team and directly with clients to develop and deliver strategies and marketing materials aligned with their objectives and event timelines.

You won’t just be implementing plans, you’ll keep things moving, and bring ideas to the table. This role is ideal for someone who loves being the glue that keeps things on track and enjoys juggling multiple creative and strategic tasks.

This is a remote position, and you must have your own laptop (laptop not provided). We will ensure your laptop is set up with proper security and necessary software for our document sharing.

Key Responsibilities

The Marketing & Communications Coordinator will assist in a number of areas, including:

  • Review client goals, objectives, and preferred communication methods to develop customized marketing strategies
  • Build detailed marketing timelines and integrate them into each client’s overall event planning timeline
  • Attend weekly GEM team meetings to stay current on client updates and proactively adjust marketing efforts
  • Update progress reports and keep current for weekly team calls
  • Create high-quality marketing content in alignment with the strategy and timeline, including:
  • Electronic e-promotions (using client-preferred software)
  • Social media graphics and post copy
  • Digital flyers, banners, branded templates, and letterhead
  • Manage GEM’s own social media accounts by creating content, securing approvals, and scheduling posts
  • Schedule and distribute marketing content based on the approved timeline
  • Prompt clients and/or GEM for timely content approvals—take ownership of keeping the process moving forward
  • Work directly with GEM team members and/or clients on copy, design, and final approvals
  • Update client websites as needed using platforms such as WordPress, Stova, and Wild Apricot
  • Apply HTML coding skills for content formatting and simple customizations
  • Research and recommend digital marketing trends, tools, and strategies to better meet individual and unique client goals based on their industry
  • Find efficiencies and adapt marketing processes for each client, recognizing that GEM is not paid hourly for marketing work
Skill Set

“MUST” HAVES:

  • Fluent in English (spoken and written); French is a strong asset
  • Experience with Adobe Suite, especially Photoshop and InDesign
  • HTML coding experience (for email and web content)
  • Familiarity with e-marketing platforms (e.g., Mailchimp, Constant Contact, or others)
  • Strong writing and editing skills for marketing copy (we welcome AI tools to support the process, however the strength of the content should come from experience/education)
  • Experience with CMS platforms such as WordPress, Stova, and Wild Apricot
  • Highly organized, with excellent attention to detail and follow-through
  • Able to juggle multiple projects and deadlines with grace
  • Ability to attend client meetings via Zoom or MS Teams

“NICE TO” HAVES:

  • Experience in the event or conference industry
  • Knowledge of trends in digital marketing and design
  • Familiarity with Canva, Later, or other scheduling tools
