What You’ll Do

As the Marketing Project Manager, working closely with the Director of Marketing and Communications, you’ll support the execution of our strategies by operationalizing and overseeing the day-to-day marketing activities, managing up and down within the team, to ensure campaigns, communications, and marketing efforts stay on track. You will also be responsible for quality control of marketing materials prior to them reaching the Director for final approvals.

Key Responsibilities

  1. Translate high-level marketing strategies provided by the Director of Marketing and Communications into actionable plans for the team.
  2. Delegate tasks and track progress in project management tools against key deliverables, flagging issues or roadblocks as needed.
  3. Maintain and update marketing calendars, communication schedules, task lists, project timelines and KPI tracking.
  4. Coordinate efforts across a small, collaborative team under the stewardship of the Director of Marketing and Communications, including primary initiatives such as social media outreach, events, ad buys (digital and traditional), community presentations, Accredited Business communications, consumer communications, partner management, BBB Torch Awards and promotion of the BBB Engagement Centre.
  5. Ensure work of junior team members aligns with established key messages and strategies and aligns with organizational goals and timelines.
  6. Support the planning and review of engaging content for email newsletters, blogs, press releases, and other communication channels.
  7. Ensure the organization’s messaging is consistent, mission-aligned, and resonates with key audiences.
  8. Review the social calendars for adherence to provided key messaging and monitor social media platforms for quality control.
  9. Work closely with other departments, such as development and program teams, to support integrated marketing and communication efforts.
  10. Manage external partner relations in conjunction with Director Marketing and Communications, delegating deliverables to team members as required.
  11. Serve as the point person, as needed, for external vendors or partners involved in marketing, event or communication initiatives.
  12. Apply your generalist skills as needed to support execution of projects and events, supporting Events Coordinator on site as needed.
  13. Support Director of Marketing and Communications with ad buys as required.
  14. Manage up by providing regular updates, reports, and insights to the Director Marketing and Communications to ensure alignment and progress.
  15. Manage down by supporting and guiding team members, assigning tasks, and fostering accountability.
  16. Facilitate team meetings and check-ins to keep everyone aligned and informed.

Administration and Reporting:

  1. Manage meeting minutes, ensure organization of digital files and transfer action items into project management software.
  2. Monitor campaign and social media performance, preparing reports for the Marketing Director and executive leadership.
  3. Analyze and review analytics (website, newsletter, social, etc.) to provide recommendations for adjustments to strategies or tactics.
  4. Handle administrative tasks related to project and campaign management.

Experience and Abilities:

  1. 2+ years in marketing and/or communications
  2. 2+ years experience in project management
  3. Strong graphic design skills
  4. Strong written and verbal communication skills
  5. Incredibly organized, strong recall and keen attention to detail
  6. Occasional local travel will be required (reliable transportation to and from events)
  7. Occasional evening and weekends will be required
  8. Excellent knowledge of MS Office, Google Docs, Project Management software, social media tools, Canva, etc.
  9. Exquisite communication and people skills
  10. Demonstrable ability to multi-task and adhere to deadlines
  11. Good understanding of office management and marketing principles

Schedule:
