Job description

Marketing and Administrative Assistant

This is a permanent full-time position reporting to the Marketing and Member Services Manager. The successful candidate will support the Marketing Manager in executing various campaigns and initiatives. Key responsibilities include creating and scheduling content for social media, maintaining the company website, assisting in the preparation of promotional materials, conducting market research, preparing communications, and supporting company events. The ideal candidate will possess strong communication skills, attention to detail, a collaborative spirit, and familiarity with digital marketing tools and graphic design. This role offers an opportunity to learn and grow within a dynamic industry.

Essential Duties & Responsibilities :

  • Marketing : Assist in developing and executing marketing campaigns across channels (social media, email, digital, print). Maintain and update the company website and social media profiles. Create and schedule engaging content for platforms like Facebook and LinkedIn. Collaborate with team members to brainstorm and develop new marketing strategies. Conduct market research to identify trends and customer preferences.

Communications : Prepare drafts for internal and external communications. Disseminate communications via email, website, and newsletters.

  • Events : Support planning and execution of company events, trade shows, and webinars, including venue selection, logistics, and setup. Coordinate with vendors, manage invitations, and oversee event materials to ensure a seamless experience.
  • Administrative : Provide administrative support, including managing marketing calendars, scheduling meetings, and maintaining project timelines. Keep organized records of marketing activities and performance metrics. Participate in team meetings and contribute ideas for continuous improvement.
  • Executive Support and Assistance : Assist the CEO in preparing for member appreciation meetings, board meetings, and town hall meetings. Arrange and coordinate travel plans, including flights, accommodations, and car rentals. Manage personal and professional tasks such as procurement of gifts and items.
  • Other : Demonstrate company values daily—showing care, respect, acting with integrity, supporting communities, and delivering service with excellence. Commit to delivering the highest level of service to member practices through personal actions.

Health & Safety

  • Work in compliance with the Occupational Health & Safety Act.
  • Conduct oneself with regard for safety, aware of safety and evacuation procedures.

Good Manufacturing Practices :

  • Follow relevant Standard Operating Procedures related to Good Manufacturing Practices.

Skills and Knowledge Required :

  • 5 years of experience in the veterinary field preferred.
  • Experience in marketing or internships considered an asset.
  • Strong written and verbal communication skills.
  • Bilingual in English and French is an asset.
  • Basic knowledge of graphic design tools (e.g., Canva, Adobe Creative Suite).
  • Familiarity with digital marketing tools and social media platforms.
  • Willingness to adapt to varying hours and travel.
  • Ability to work collaboratively and manage multiple tasks.
  • Proven ability to establish and maintain professional networks.

Schedule : Monday to Friday, 8:30 am to 5 pm

Location : Hybrid, approximately 2-3 days onsite per month at our St. Marys location.
