Title: Manager, Workforce Operations

Department: People Department

Reports To: Sr. Manager, People & HR Analytics

Summary

The Manager, Workforce Operations is responsible for leading centralized staff services to event staff at Rogers Arena including: scheduling, systems administration and reporting, and wardrobe management. This role primarily oversees the day-to-day scheduling requirements for all departments with unionized and non-unionized event staff, but will also manage other services for our event staff workforce. The Manager will be responsible for ensuring events are fully and efficiently staffed, and employees are properly licensed, uniformed and event ready.

Duties And Responsibilities

  • Lead the Staff Services unit of the People Department, proactively and continuously exploring opportunities to improve service and support to event staff of Rogers Arena.
  • Lead the centralized scheduling function for an event staff complement of over 3000 part time staff
  • Lead 3 full-time and 1-2 part-time staff services employees and provide ongoing engagement, coaching and employee development support
  • Oversee the company’s wardrobe function and ensure uniforms are adequately purchased, tracked, maintained and distributed to staff taking steps to maximize efficiencies to reduce costs.
  • Monitor and manage the overall wardrobe inventory and budget proactively ensuring stock is at appropriate levels and order are made as required
  • Prepare and present reports and analysis in deployments, labour costs, inventory etc. as required, and make recommendations for increased efficiency and cost savings
  • Serve as systems administrator for the ABI Mastermind scheduling system and ensure scheduling, inventory and labour costing rules are operating correctly and technical issues are quickly resolved
  • In collaboration with event staff departments and other People Department personnel, proactively maximize communication to staff through the employee self service function so they are prepared for each event
  • Manage the administration of staff licensing and permit requirements, working with respective managers on applicable renewals (e.g. security, forklift licenses etc.)
  • Oversee medical accommodation process for hourly staff
  • Run Statutory Holiday utility (when applicable) in ABI Mastermind following payroll cutoff on a bi-weekly basis.
  • Manage the monthly Seniority List process
  • Follow payroll and scheduling guidelines as stipulated in the Collective Agreement and scheduling procedures
  • Promptly respond to scheduling issues or union grievances brought forward for resolution and, when necessary, work with other members of the People Department and respective department Managers to resolve issues expeditiously while considering Collective Agreement ramifications and consistencies across departments where applicable
  • Maintain strong lines of communications with other departments. Promote buy-in to Scheduling rules and guidelines from the various departments as they pertain to Scheduling and the Collective Agreement.
  • Collaborate and support other members of the People Department where workloads require assistance.
  • Manage final approval of timesheets, as required.

Required Experience And Qualifications

  • Minimum 3-5 years experience in a similar capacity with a related management degree/diploma.
  • Previous experience in a supervisory capacity with strong leadership skills in employee engagement and development
  • A deep sense of care for premium level service to employees and to resolving issues in a timely manner
  • Extensive experience and strong aptitude with scheduling system databases is essential and experience with the ABI Master Mind scheduling system is a plus
  • Demonstrated ability to positively motivate and engage employees
  • Working in a fast paced and time sensitive environment, this role requires effective leadership and communication with all staff classifications and department managers.
  • Experience working in a unionized environment with a solid understanding of Collective Agreements
  • Experience with labour/cost analysis and reporting
  • Experience in and understanding of busy event-based scheduling and payroll practices is required
  • Proficiency in MS Word, Excel, Power Point, Outlook, and Access
  • Proven to perform well under pressure; manage multiple priorities simultaneously and having success in a fast paced team environment.
  • A strong attention to detail and a high standard for accuracy
  • Ability to take initiative and be creative
  • Ability to take and give constructive feedback and work productively with limited direction
