Purpose
The purpose of this position is to intentionally create a workplace culture that aligns with the company's values, mission, strategy, and overall vision, while leading a team, preparing projects and budgets, and ensuring that properties meet building systems performance expectations. This role is also responsible for delivering exceptional customer service and maintaining the physical condition and curb appeal of the properties.
Responsibilities
Leadership Responsibilities
- Oversee the performance of a large portfolio of complex buildings.
- Collaborate with the Technical Services leadership team on strategy, oversight, and evaluation of team members.
- Work closely with third‑party service providers and ensure contractual performance as well as the quality of services delivered to the properties and tenants.
- Lead, coach, and develop a team of Building Operators by fostering teamwork, knowledge sharing, empowerment, and unity across all departments, while managing performance through ongoing feedback, discussions, and goal‑setting.
- Participate in talent management activities, including workforce planning, candidate interviewing and selection, onboarding and training of new employees, and performance management.
- Ensure that each Building Operator receives cross‑training across all buildings within their designated portfolio.
- Oversee the assignments, work schedules, overtime, and holiday coverage of all Building Operators.
- Ensure Building Operators maintain a professional appearance while performing their duties, including wearing the full uniform while on duty.
- Assume responsibility for Building Operators and Supervisors, ensuring a hands‑on response to equipment issues through both self‑performance and task delegation.
- Identify training needs and seek approval for training programs to ensure the team is equipped to manage daily operations and emergency situations.
- Where applicable, manage and oversee Building Supervisors.
Building Standards / Operations
- Lead the transition of properties from development and construction at project completion to support a seamless handover to day‑to‑day operations.
- Collaborate and communicate regularly with the Property Management team to ensure departmental objectives are achieved.
- Work closely with vendors and contractors to ensure all required services are completed, verified, and signed off.
- Ensure service contracts are fulfilled, service levels are met, and service providers, including contractors, are properly supervised while on site.
- Oversee the commissioning, maintenance, and operation of major building systems, including HVAC, life safety systems, vertical transportation, building envelope, electrical and data distribution systems, and other related equipment and systems.
- Conduct routine inspections of all mechanical, electrical, and HVAC systems and associated equipment, including but not limited to water treatment systems, boilers, heat pumps, rooftop units, and air conditioning systems, to ensure equipment remains in good working condition.
- Manage Yardi FM and tenant service request requirements by reviewing response times monthly for all tenant maintenance and preventive maintenance requests, ensuring services are recorded in the system, reviewing relevant reports, and making recommendations to improve service levels.
- Ensure all tenant concerns are addressed promptly and professionally and assist in resolving issues as required. Follow up with tenants to confirm satisfaction with completed work.
- Ensure all preventive maintenance tasks are completed as scheduled across all equipment and systems and update maintenance tasks and records as needed.
- Review all daily, weekly, and monthly logs to ensure readings are accurate and up to date; investigate irregularities and discrepancies and take corrective action to ensure the safe and efficient operation of all equipment and systems.
- Work closely with portfolio operations staff in preparing building operating budgets and lead the preparation of capital budgets for all properties within the portfolio.
- Comply with company policies and standard operating procedures while ensuring building standards and operational efficiency are maintained.
- Collaborate closely with the Construction team and Portfolio Operations team, acting as a liaison with technical consultants and contractors on tenant improvement projects, capital improvements, and base building construction projects. This includes ensuring timely turnover and preparation of vacant premises.
- Manage the procurement of all supplies and services required for the property or portfolio.
- Ensure all health, safety, and security procedures are followed and that concerns are reported to the appropriate parties and documented in Yardi FM in a timely manner to minimize liability and loss exposure. Ensure corrective actions are implemented when required.
- Oversee projects established in Yardi, including all work requirements and documentation, in collaboration with the TS+CON Coordinator.
- Ensure all fire protection equipment and systems are inspected and tested at recommended intervals to meet legislative requirements and ensure the safety of tenants and visitors.
- Ensure seasonal building technical requirements and services are completed, including boilers, cooling towers, roof assessments, and similar systems. Confirm all work is performed properly and in accordance with service agreements.
- Respond to after‑hours calls and emergencies as required.
- When construction work is underway, such as tenant fit‑outs or interior improvements, work closely with the Construction Manager to ensure building standards are maintained.
- Monitor key performance indicators (KPIs) related to portfolio performance and ensure targets are achieved, including preventive maintenance completion, training compliance, and work order/request management.
Other Responsibilities
- Work closely with the Leasing Manager and Property Management team, where applicable, to ensure landlord work deadlines are met, including scope development, tendering, and execution.
- Develop and maintain cooperative and collaborative working relationships with Operations staff, Property Management, contractors, tenants/occupants, and the broader community.
- Perform assigned duties related to Allied’s sustainability, wellness, and user engagement programs.
- Participate in certification processes such as BOMA, LEED, and WELL, where applicable.
- Perform other duties as assigned.
Qualifications
Required Experience
- Minimum of 9 years of experience in physical building operations, including HVAC/BAS, plumbing, electrical systems, fire alarm systems, and other related equipment and systems.
- Minimum of 5 years of leadership experience.
- Minimum of 3 years of experience managing maintenance and construction projects.
- Experience managing budgets and performance through KPIs.
- Experience developing and implementing best practices and policies.
- Experience with CMMS systems (work order and service request management).
Required Education and Knowledge
- Bachelor's degree in Business Management, Engineering, or a related field (considered an asset).
- Building Environmental Systems certifications: BES I and II, SMA/SMT, 4th Class Power Engineer certification, or equivalent.
- Building Environmental Systems Facility Manager certification.
- Provincial Boiler Safety Authority training is recommended.
- Strong knowledge of building operations and building systems troubleshooting, including but not limited to HVAC, electrical, plumbing, building automation systems, life safety systems, building envelope systems, and related infrastructure.
