Job description

Overview

The Manager of Vendor Management is responsible for implementing and managing a formalized process of selecting, monitoring and auditing the Company's third-party service providers, i.e. attorney’s signing agents, notaries, etc. Evaluate the effectiveness of new and existing vendors and monitor and report on Service Level Agreement compliance and other contractual covenants and obligations.

What you will do

  • Ensure enterprise-wide needs for due diligence, risk assessment and continuing vendor monitoring are being accomplished
  • Handle all aspects of RON needs as needed.
  • Thoroughly assess large volume of documentation to complete a vendor review in accordance with regulatory compliance and internal policy
  • Manage request for proposal and request for information process for new service providers
  • Build and maintain relationships with vendors
  • Manage ongoing compliance of vendor network within company database
  • Conduct meetings with vendors to facilitate improvement actions on vendor's performance when necessary
  • Evaluate and conduct review of vendor performance scorecards on a monthly basis for existing vendors
  • Design and implement vendor performance scorecards for new vendors
  • Design and implement vendor management process and methods to approve vendors
  • Track, measure, report and evaluate vendor performance
  • Identify improvement areas internally and externally and prepare solutions for implementation
  • Manage department to attain corporate and departmental objectives as assigned by management
  • Manage and participate in the daily functions of multiple teams for a client and/or multiple clients
  • Manage workload issues across teams and propose and implement efficiency initiatives as deemed necessary
  • Enforce staff adherence to client time requirements or service level agreements (SLA’s)
  • Take responsibility for the teams’ accuracy, efficiency, timeliness, and completion of duties
  • Develop and maintain departmental policies and procedures
  • Conduct staff meetings to convey operational issues and changes needed
  • Maintain the highest levels of customer service to ensure client/vendor retention by taking direct action on issues and coordinating activities with company personnel and other departments
  • Recommend systems and process enhancements to reduce processing times and improve accuracy and participate in the system enhancement signoff process
  • Maintain open communication with team members, clients, vendors, other departments, and management
  • Act as a leader within the company and build and maintain employee morale
  • Review departmental profitability and budget
  • Make recommendations and interview for staffing needs, schedules, overtime, and movement of employees between teams, promotions, and work with Human Resources on evaluation of staff performance in accordance with performance management planning and review process, training of staff members; one-on-ones, classes, and coaching and developmental needs
  • All other duties assigned
  • Will be cross trained in other aspects of Vendor Management to assist based on company needs

What you will bring

  • Prior experience as Vendor Services manager with 5 years of management experience in the real estate, banking, or vendor management industry
  • High School diploma or equivalent, bachelor’s degree preferred
  • Prior experience with mortgage lending and/or scheduling, vendor recruiting, vendor maintenance, and appraisals
  • Must possess good organizational, negotiation, customer service, problem-solving, critical thinking, analytical and leadership skills
  • Ability to multi-task and work in a fast paced environment to meet demands
  • Proficient with a personal computer and Microsoft software products
