Position : Manager, Maintenance & Emergency Preparedness
Weekdays : 9:00am-5:00pm (37.5 hours a week)
Weekends and evening work may be required.

Reporting to the Assistant Executive Director, the Manager, Maintenance & Emergency Planning and Preparedness is a key member of our leadership team. You are responsible for the operation of the Physical Plant, Maintenance, as well as Emergency Planning and Preparedness and Security Management. In addition, you are responsible for ensuring that Villa Colombo Toronto is operated and maintained in a cost-effective, safe and efficient manner by leading and overseeing all maintenance activities, (sub) contractor management, capital projects, emergency preparedness, work orders and facility-wide inspections.
EXPERIENCE & EDUCATION
- A post-secondary degree or diploma. A degree / diploma in Property Management, or other related field is preferred.
- Must possess one or more of the following professional designations: Certified Facility Manager (CFM), Certified Property Manager (CPM), Facility Management Administrator (FMA), Real Property Administrator (RPA).
- A minimum of three (3) years property or maintenance management experience, preferably in a health organization.
- Building Environment System Operator, Certificate 1 or Certified HVAC Technologist from a recognized institution is an asset.
- Health and Safety (Level I & II) certification is a definite asset.
- Three years of experience in a managerial or supervisory capacity, preferably in a unionized health care / long-term care organization.
COMPETENCIES (Behavioural & Technical Skills)
- Excellent analytical and financial management skills with experience in developing business cases and building project / capital budgets, preferably for a not-for-profit organization.
- Advanced knowledge of the Ontario Fire and Building Code and other applicable legislation.
- Excellent knowledge of Excel, Word and other Microsoft and business applications / tools, including electronic work order and asset management systems.
- Ability to work efficiently and effectively in a fast-paced environment with flexibility to handle last minute changes.
- Excellent interpersonal, communication (oral and written), presentation and organizational skills.

- Demonstrated understanding of, and compliance with, responsibilities under the Occupational Health and Safety Act, Regulations and the organization's health and safety plans, policies and procedures.
- Comprehensive knowledge of preventative maintenance requirements, documentation and record keeping of all equipment and building systems.
- Knowledge of evidence-based practices and, if there are none, prevailing practices relating to building and property management / maintenance, as applicable.
- Thorough knowledge of mechanical and building systems design and machine shop practices.
- Ability to speak Italian is a definite asset.
RESPONSIBILITIES INCLUDE (but are not limited to) :
- Hire, fire, discipline and supervise all full and part-time maintenance, security and receiving staff.
- Monitor and coordinate the daily operations of the maintenance, receiving and security functions.
- Review all maintenance requests and work orders and ensure work is scheduled and completed.
- Conduct daily tours of the facility for safety and maintenance surveillance to monitor potentially unsafe work areas, equipment and practices and identify maintenance issues to ensure compliance and plan and implement appropriate corrective actions and work.
- Supervise, administer and participate in all the activities of the department including planning and supervising the work of the maintenance and receiving staff and ensure all equipment is working correctly.
- Ensure that all services, buildings and grounds are properly maintained to provide a good living and working environment for our residents and staff.
- Report on assigned quality indicators and implement action plans for improvement.
- Develop department goals and objectives in consultation with the Assistant Executive Director.
- Develop and implement policies and procedures.
- Lead all Emergency Management systems, processes, policies and procedures and education / training and act as Fire Marshall in Emergency Procedures and adhere to Fire and Security procedures.
- Work with the fire inspector to ensure the Fire Plan is revised and updated accordingly.
- Manage and maintain all maintenance, emergency and security service contracts, including sourcing new providers as needed, obtaining quotations and contracts and scheduling work, monitoring and evaluating service.
- Coordinate, develop and maintain capital budgets and project plans.
- Order necessary supplies and ensure all stores are well maintained, organized and properly inventoried.
- Communicate effectively with residents, clients, families and staff.
- Cover the Manager, Housekeeping & Laundry when not at work.
- May be required to chair, participate or attend committee and Board meetings as assigned.
