The Position:
This position is responsible for the accurate, compliant, and timely processing of payroll and administration of employee benefits for all salaried employees at the corporate level. This position plays a critical role in coordinating with internal departments and external providers to ensure consistent and effective payroll and benefits management. This role is also accountable for overseeing benefits and pension governance, ensuring adherence to relevant legislation, corporate policies, and best practices.
Key Responsibilities:
Payroll Administration
- Manage full-cycle, semi-monthly payroll processing for corporate salaried employees, ensuring accuracy and compliance with legislative and internal policy requirements.
- Process earnings, deductions, taxable benefits, bonuses, and adjustments; ensure timely submission of payroll remittances and filings.
- Prepare and reconcile payroll reports, audit files, and GL entries in coordination with Finance.
- Ensure compliance with CRA, WSIB, ESA, and company payroll standards.
- Prepare year-end documents including T4s, ROEs, and other payroll-related reports.
Benefits Administration and Governance
- Administer corporate employee group benefit programs including extended health, dental, life insurance, disability, and pension (DC/DB), ensuring timely enrollments, changes, and terminations.
- Liaise with benefit carriers and brokers to manage claims issues, renewals, and benefit enhancements.
- Maintain up-to-date knowledge of relevant legislation and ensure policies and processes align with current benefit standards and regulatory requirements.
- Oversee benefits governance, ensuring proper documentation, compliance reporting, and risk management related to benefit plans.
- Provide guidance to HR and employees regarding benefits, coverage, and eligibility.
Compliance and Risk Management
- Ensure alignment with payroll and benefits legislation, CRA rules, and company policies.
- Maintain accurate and confidential employee records in accordance with privacy regulations.
- Support internal and external audits by preparing payroll and benefits documentation.
- Recommend and implement payroll and benefits process improvements to ensure ongoing compliance and operational excellence.
Stakeholder Support
- Serve as the main point of contact for all payroll and benefits matters related to corporate employees.
- Partner with HR, Finance, and IT teams to ensure seamless execution of payroll and benefit-related functions.
- Support onboarding of new employees with orientation on payroll timelines and benefit coverage.
- Respond to employee inquiries with professionalism, accuracy, and confidentiality.
Skills and Qualifications
- Post-Secondary Education, in Accounting, Human Resources, Business Administration, or a related field.
- A minimum of 7 years of experience in payroll and benefits administration, preferably in a mining, construction, or industrial setting.
- Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP) certification from the Canadian Payroll Institute.
- Experience with Defined Contribution and Defined Benefit Pension programs and governance reporting requirements
- Experience with payroll systems such as ADP, Ceridian, SAP, Dayforce or similar platforms.
- Strong knowledge of Ontario Employment Standards Act (ESA), WSIB, and CRA regulations.
- Experience administering unionized payroll (an asset).
- Proficiency in Microsoft Excel and other financial reporting tools.
- Strong attention to detail, confidentiality, and ability to handle sensitive information.
- Excellent communication and problem-solving skills.
Workplace Conditions:
- Corporate head office, located in Toronto, Ontario with potential travel domestically (Timmins and abroad).
- Long hours with expectation of weekend and evening attention to work issues.
