Position Summary:

We are seeking a highly skilled and experienced Manager of Cash Administration to join our team. In this role, you will be responsible for managing cash receipts, overseeing payment gateway processing for the 407ETR, and ensuring accurate bank reconciliation. You will also handle payment vendor applications and lead a dedicated team of employees. The ideal candidate will have a strong background in financial operations, continuous improvements, focused on customer experience, all while containing costs within budget expectations. This person will require excellent leadership skills in coaching and mentoring employees to top performance, building and implementing strategic plans & projects within finance focused on the big picture all while having a keen eye for detail.

Position Responsibilities:

  1. Ensure all financial transactions, including cash receipts, refunds, rejects, payments processed, and banking transactions are reconciled and processed seamlessly and within service level.
  2. Responsible for key stakeholder KPI remittance processing, resolution of any discrepancies and wire transfers.
  3. Responsible to ensure all banking operations comply with relevant regulations and internal policies, and manage audit & risks associated with financial transactions.
  4. Lead and manage a team of employees, provide coaching, guidance, training, and support to ensure high performance and professional development.
  5. Develop and maintain strong relationships with internal and external stakeholders, payment vendors, addressing any issues or concerns promptly and effectively.
  6. Responsible to prepare and present financial reports to senior management (budget/forecast, payment volumes and the various mix of payment types), provide insights and recommendations for improving financial performance.
  7. Identify opportunities for process improvements, create & execute corporate strategies and implement changes to enhance efficiency and effectiveness within our payment process, bank reconciliation operations.
  8. Oversee the budgeting process for the bank charges, payment & banking administration department, ensuring KPI’s are met, and financial resources are allocated effectively.
  9. Key point of contact for IT Security for PCI scans for card data, TD Bank for wire approvals, transfer approvals, refund cheque fraud protection service and individual system access, BMO –Administrator Card Purchasing Program and Online Web Business Banking, CIBC system Administrator for Cash Management system.
  10. Support, development, and implementation of projects relating to Cash Admin process. The process includes preparation of Business Requirement Documents, cost assessment and the management of user acceptance testing to ensure that delivered functionality meets business needs, is accurate, complete and includes effective controls.
  11. Responsible for employee performance management (i.e. attendance, and payroll administration, performance management including, recruitment, staff development) liaise with Human Resources as required.
  12. Responsible for transferring knowledge to all direct report staff by conducting weekly/monthly staff meetings, coaching, guidance and execute strategic direction as required.
  13. Execute daily wire transfers, fund transfers, custody, and safekeeping instruction entry.
  14. Ensure policies and procedures follow audit and regulatory requirements, and any other industry requirements (such as but not limited to CEO/CFO attestation/Certification, 407 Highway Traffic Act, Banking regulations, Collection Code of conduct etc.) which have been identified by 407 ETR as essential.
  15. Attend regular leadership meetings, professional training, and collection seminars.
  16. Other duties as assigned.

Qualifications:

  1. Possess University degree in finance, accounting, business administration, or a related field like business Administration specialization in Accounting/Cash Management or equivalent.
  2. Minimum five years supervisory experience in a finance or banking environment.
  3. Proven experience in banking or financial operations, with a strong understanding of banking laws and regulations, reconciliation and accounting principles.
  4. Strong analytical and excellent problem-solving abilities to manage complex financial transactions and ensure accurate bank reconciliation. Strategic thinking and solid business judgment.
  5. Exceptional customer service skills to develop and maintain relationships with clients and address any issues promptly.
  6. Strong interpersonal, communication skills, organizational & detailed oriented expertise, project management, conflict resolution skills and communication skills to interact with team members, clients, and other stakeholders.
  7. Excellent leadership and team management skills to effectively oversee, coach, performance manage and motivate a team of employees to top performance.
  8. Experience in multiple areas of operations i.e.. forecasting, budgeting, Collections, cash admin, Insolvency, Litigation, Customer Service, account management an asset.
  9. Possess positive attitude, good work ethic, collaborative leader and leads by example.
  10. Responsible for monthly/annual reporting, KPI reporting and presentations to leadership and stakeholders.
  11. Proficient with Microsoft Office, Internet, Windows, Banking software.
  12. Working knowledge of internal systems such as but not limited to People Soft Financial, SAP, Salesforce an asset.
  13. Other duties as assigned.
