Toyota Canada Inc. (TCI) currently has an exciting opportunity for a candidate to take a leading role in ourAdministration department. This is a24-month contract / acting opportunity and will report to the National Manager, Administration.

The successful candidate will oversee and develop programs to ensure a safe, clean, comfortable, healthy, and productive work environment for all associates across Canada. This candidate will also monitor all facility operating efficiencies to ensure we are operating in a highly cost and carbon-conscious manner.

What You’ll be Doing :

Direct a team of 4 direct reports who aid in daily departmental duties

Guide multi-disciplinary teams of outside contractors including administrative, cleaning, on-site maintenance, painting, translation services, grounds keeping and snow removal services, security, cafeteria services, space planning, corporate travel services, mail room, waste management, head office shipping and receiving, electrical, plumbing and HVAC

Oversee various facility construction projects including consultants, vendor, architectural and contractor selection, evaluating quotes, project and budget management, project review and design services

Participate in all RFP processes for contract renewals under Administration Department control and sets vendor performance metrics. Oversees preparation of all business cases for RINGI approvals

Conduct routine facility inspections

Coordinate pre-emptive facilityrepairs or maintenance

Direct and maintain all space planning activities, maintaining "as built" drawings to monitor all floor space usage

Prepare and oversee the annual Repair and Maintenance, and Capital budget and ensures cost effectiveness

Ensure all facilities are compliant with all government regulations (Provincial and Federal) pertaining to environmental, health and safety, accessibility, and security standards

Ensure compliance with government and company regulations

Verify monthly energy consumption and efficiency reports and develops recommendations to minimize costs

Ensure corporate compliance with mandatory Health and Safety and AODA training

Act as Management Representative of the Joint Health and Safety Committee

Ensure conformance with all H&S and First Aid policies and procedures

Oversee the corporate Business Continuity Program (BCP)

Provide feedback with corrective action on all ISO audits and Environmental Audits

People Management

Provide timely guidance, coaching, feedback, and accountability for direct reports to drive learning & development and successful project completion

Direct team members to foster collaboration, understanding, & Kaizen (continuous improvement) resulting in work efficiencies

Empower the team to take initiative and proactively influence the business

What You’ll Bring :

University degree or College diploma is required; Facilities Management, Electrical / Mechanical engineering, or relevant disciplineis preferred

5+ years of experience in the management of a commercial, institutional facility or related administrative services function

Prior people management experience is preferred

Experience working with groups such as plumbing, fire protection, HVAC, electrical systems, security, cafeteria services data centres and landscaping

Experience with Microsoft Office Suite (Excel, PowerPoint, Word, etc.)

Experience with procurement and / or administration of contracts, bids and quotes

Knowledgeable in use of facilities management software (Nuvolo or similar); Knowledge of ISO Management systems is an asset

Knowledge of various Federal, Provincial, and local codes and regulations involving construction, installation, fire, safety, and sanitation

Experience with budgeting and establishing programs to evaluate budgetary impact of new measures

Excellent leadership, organizational and project management

Analytical and problem-solving

Tackle multiple priorities, while initiating and improving work processes to increase efficiencies

Bilingualism (English / French) is an asset
