Job summary

Ontario Northland is seeking a Maintenance Execution Coordinator to support the Supervisor, Maintenance Planning EAM. This role ensures the smooth transition from planning to on-site work and provides visibility and control over maintenance activities.

You will monitor work orders, coordinate with technicians, manage resources, and use EAM systems to track assets, labour, and materials. Strong organizational and communication skills are essential.

Qualifications

  • Three-year college diploma or degree in engineering, business administration, IT, or related field.
  • Relevant trade certification considered an asset.
  • Minimum 1-2 years in asset management or maintenance with monitoring and improvement actions.
  • Experience using EAM/work management systems such as SAP PM, IBM Maximo, or HxGN EAM.
  • Experience with work order scheduling and resource allocation.
  • Knowledge of maintenance and asset management principles (preventive, predictive, corrective).
  • Ability to generate and analyze maintenance reports and KPIs (MTTR, MTBF).
  • Knowledge of spare parts planning and inventory availability requirements.
  • Awareness of regulatory requirements, health and safety practices.
  • Strong communication, coordination, planning, analytical and problem-solving skills.
  • Ability to adapt to changing priorities and work independently.
  • Valid Class G Driver's License.
  • Committed to workplace health and safety.

Responsibilities

  • Assist with inventory tracking of parts required for maintenance.
  • Resolve day-to-day execution issues and changing priorities.
  • Consult with operators and managers on equipment and execution requirements.
  • Facilitate daily team meetings and adherence to processes.
  • Support KPI reporting and data integrity in EAM usage.
  • Perform related duties to support maintenance execution and asset reliability.

Accountability Statement:

The Maintenance Execution Coordinator provides comprehensive on-site support to the Supervisor, Maintenance Planning EAM, ensuring the smooth execution of scheduled work and the timely resolution of issues within the function. The role supports the seamless transition from planning and scheduling to work execution, providing visibility and control over maintenance activities through the effective use of EAM systems. Acting as a key resource, the Maintenance Execution Coordinator assists with daily operational challenges, maintains data accuracy, supports adherence to established plans, coordinates response efforts during emergencies and breakdowns, and promotes effective system utilization to support the Business Unit’s asset management objectives and operational excellence.

Major Duties / Responsibilities:
  • Monitor and update work orders scheduled and assigned during the current work week, providing timely status updates and ensuring work progresses as planned.
  • Monitor progress against weekly schedules and assist with rescheduling or reprioritizing work based on emergent needs and operational requirements.
  • Facilitate the assignment and reassignment of work activities to technicians and contractors based on Supervisor work order prioritization, resource availability, and business needs.
  • Provide day-to-day support to maintenance teams, addressing issues as they arise and facilitating solutions to keep work on schedule.
  • Assist in scheduling and allocating the personnel, tools, equipment, and materials required to support efficient work execution.
  • Effectively utilize the EAM system to track assets, maintenance activities, labour, materials, and maintenance records.
  • Maintain accurate work history, technical and vendor files, ensuring work order documentation is complete, accurate, and up to date.
  • Coordinate with the Stores and Procurement departments to ensure parts and materials are available to support scheduled and emergency work.
  • Assist with identifying, sourcing, requisitioning, and tracking inventory and non-inventory parts required for maintenance activities.
  • Resolve day-to-day execution issues such as resource conflicts, incomplete work orders, material shortages, and changing priorities.
  • Consult with operators and managers to determine equipment and work execution requirements and support the effective delivery of maintenance activities.
  • Facilitate daily team meetings and promote adherence to work execution management processes and guiding principles.
  • Support KPI reporting, data integrity initiatives, and provide guidance to business unit personnel on work execution processes and EAM system utilization.
  • Perform other related duties as assigned in support of maintenance execution, asset reliability and business objectives.
Requirements:
  • Three-year College Diploma or Degree in Engineering, Business Administration, Information Technology, or a related field
  • Relevant trade certification (e.g., Machinist, Electrician, Pipefitter, Painter, Metal Fabricator) considered an asset
  • Minimum 1-2 years of experience in asset management, maintenance, or a related field, including monitoring asset performance and recommending corrective actions and improvement plans
  • Experience using Enterprise Asset Management (EAM) or work management systems such as SAP PM, IBM Maximo, or HxGN EAM
  • Experience with work order scheduling, resource allocation, and asset management business processes considered an asset
  • Knowledge of maintenance and asset management principles, including preventive, predictive, and corrective maintenance practices
  • Ability to generate, interpret, and analyze maintenance reports, work orders, schedules, asset performance data, and key performance indicators (e.g., MTTR, MTBF) to identify trends and improvement opportunities
  • Knowledge of spare parts planning, inventory management, material availability requirements, and maintenance resource coordination
  • Awareness of regulatory requirements, maintenance standards, and health and safety practices
  • Strong communication, interpersonal, coordination, planning, analytical, and problem-solving skills, with the ability to effectively collaborate with multiple stakeholders
  • Ability to adapt to changing priorities, work independently, and perform effectively in a dynamic environment
  • Highly organized and self-motivated
