Job summary

Thales is hiring a Maintenance Coordinator in Victoria, BC, offering hybrid work arrangements. The role supports Ship Maintenance Leads and the Service Delivery Team, coordinating subcontractors, managing tools and materials, and ensuring quality, safety and proper documentation through each work period.

You will contribute to reporting, maintain records, and help close out work periods while interfacing with internal and external stakeholders.

Qualifications

  • At least 2 years drafting and reviewing maintenance instructions for service providers.
  • Strong computer literacy with Word, Excel and PowerPoint essential.
  • Strong organizational skills and ability to balance multiple priorities.
  • Experience in procurement, project management or warehouse environments.

Responsibilities

  • Provide general project support and administration to the Waterfront Service Delivery Team.
  • Draft and review maintenance instructions for service providers to ensure completeness.
  • Oversee maintenance activities by service providers on naval vessels ensuring quality and safety.
  • Compile Work Item closure reports and enter into the project tool.
  • Generate and manage documentation in Word/Excel/PowerPoint for the Service Delivery Team.
  • Ensure subcontracted providers have necessary paperwork and materials to complete tasks.

Maintenance Coordinator

Regulatory Compliance Requirements
  • Required to access and work in DND facilities and therefore must comply with Federal facility health regulations
  • Requires direct or indirect access to hardware, software, technology or technical data controlled under the Canadian Export Control List, the ITAR or the EAR.
  • Requires a positive Controlled Goods assessment as personnel will have direct access to hardware, software, technology or technical data controlled under the Canadian Controlled Goods Program.
  • Required to obtain and maintain a Security Clearance at the NATO Secret Level.
Position Summary

We have a current vacancy for a Maintenance Coordinator to join our Team in Victoria, BC. The Maintenance Coordinator provides work package support to the Ship Maintenance Leads and the broader Service Delivery team managing and coordinating assigned Technical Support Network (TSN) (sub-contractors) during each Work Period. The Maintenance Coordinator ensures that: TSN's complete all agreed maintenance activities to the required quality in a safe and environmentally friendly manner; TSN's deliver complete Objective Quality Evidence (OQE) for all completed tasks; management of all special tools and test equipment loaned to TSN's; and management of all material expended or returned by the TSN's. Reporting to their respective NEM Liaison & Service Delivery Team Lead, the Maintenance Coordinator assists Ship Maintenance Leads in generation and management of reports along with management of additional documentation required to facilitate and close out each work period.

Key Areas of Responsibility
  • Provision of general project support and administration activities to the Waterfront Service Delivery Team;
  • Drafting, reviewing and ensuring that maintenance instructions are complete and sufficient for service providers to complete assigned maintenance operations;
  • Overseeing maintenance activities being conducted by service providers on board naval vessels ensuring that the work is being conducted to the required quality in a safe and environmentally friendly manner;
  • Compiling Work Item closure reports, ensuring completeness and accuracy, and entering into the designated project tool for Work Item closure;
  • Generating and managing documentation and reports in various formats (Word, Excel, PowerPoint) as and when required in support of the Service Delivery Team;
  • Ensuring subcontracted service providers have the necessary paperwork and materials to complete designated maintenance tasks;
  • Attending meetings and preparing meeting agendas and minutes;
  • Generating purchase requisitions for Suppliers and Subcontracted Services, maintaining purchase orders and ensuring the efficient financial closure of Subcontracts on behalf of the Service Delivery and Procurement teams;
  • Ensuring service provider records are complete and up to date;
  • Ensuring compliance with Health and Safety requirements;
  • Assisting the Service Delivery team with keeping accurate and timely records; and
  • Other tasks as required.
Minimum Qualifications
  • At least 2 years of experience drafting, reviewing and ensuring that maintenance instructions are complete and sufficient for service providers to complete assigned maintenance operations
  • Strong computer literacy, with proven experience with Microsoft products especially Word, Excel and PowerPoint essential;
  • Strong organizational skills and ability to balance multiple priorities;
  • Experience within procurement, project management or warehouse environments highly desirable; and
  • Project experience interfacing between internal/external stakeholders
Preferred Qualifications:
  • 5 + Years of experience working in projects and teams or in marine environments
  • Minimum 2-year technical program diploma offered by a recognized technical institute or certified as a technician or technologist by a recognized provincial licensing body in a relevant field or certified to the QL-5 level of military technical training.
  • Strong computer literacy, with proven experience with Microsoft products especially Word, Excel and PowerPoint essential.
  • Experience interfacing between various internal/external stakeholders within a project;
  • Strong organizational skills and ability to balance multiple priorities.
  • Tertiary education in an Engineering, Technical, or Business/Project Management related field is desirable.

Special Position Requirements

Physical Environment: Office and Naval ships alongside in harbor, or at sea, therefore must meet all federal government requirements to access Canadian government facilities, including naval dockyards

Travel: Occasional domestic or international travel will be required, which will include access to government facilities and assets, including naval vessels

Customer Location Based or Site Visits: Access to government facilities and assets, including naval vessels

The reference Total Target Compensation (TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is between Total Target Cash (TTC) $70,000 - $95,000 CAD Annual.
