Location: This is a hybrid position requiring 3 days per week office attendance at either our Kitchener, Ontario, or Walnut Creek, CA locations. We are seeking local candidates who do not require relocation.

Position Summary: The Logistics Invoice Specialist plays a key role in managing Canadian Solar’s freight audit and payment processes. This position is responsible for ensuring logistics providers are paid accurately and on time. The Specialist will work closely with service providers to define, implement, and oversee data exchanges that enhance control and transparency within the invoice lifecycle. Regular communication with carriers is essential to ensure timely receipt of all freight bills and supporting documentation, and to resolve any outstanding balances or discrepancies.

Key Responsibilities:

  • Develop and maintain a comprehensive invoice auditing process to ensure all freight invoices are recorded, organized, and verified for accuracy.
  • Ensure carriers submit billing in a timely manner, with charges for completed shipments submitted within the corresponding accounting period or accrued accordingly.
  • Manage accurate accruals, general ledger coding, and cost center assignments for logistics providers.
  • Support the implementation of SSUI audit software to automate processes and improve efficiency.
  • Analyze submitted invoices and escalate unresolved discrepancies to the logistics team for further action.
  • Assist in resolving invoice issues and reporting discrepancies with carriers; help reconcile and settle corrections as needed.
  • Monitor and document invoice discrepancies; summarize outcomes by amount and carrier to support logistics analysis and decision-making.
  • Collaborate with internal departments to identify and implement process improvements that streamline invoice and payment workflows.
  • Ensure carrier payment terms are met and address issues related to short-pays, disputes, or aging balances.

Qualifications & Experience:

  • 2+ years in Accounts Payable management with a solid foundation in Finance & Accounting.
  • Advanced skills in Microsoft Excel and data analytics.
  • Associate’s or Bachelor’s degree in Finance, Accounting, or Logistics is preferred but not required.
  • Experience managing large data sets within ERP systems; SAP experience is preferred but not mandatory.
  • High attention to detail with strong organizational and self-management skills.
  • Excellent communication skills and ability to build strong relationships internally and externally.
  • Proven ability to prioritize and manage workload in a fast-paced environment while meeting deadlines.
  • Working knowledge of logistics contracts and pricing models, including warehousing, ocean freight, FTL, and LTL services.

Compensation and Benefits: Canadian Solar offers a competitive salary plus comprehensive benefits and a performance bonus based on annual objectives. Benefits include a 401(k) retirement plan, medical/dental/life/disability insurance, PTO, and sick days. This is a full-time position.

The pay range for this position is $75,000 – $100,000 USD, representing annual base salary only, excluding bonuses, incentives, or benefits. The range is subject to change.
