Job Description:

Logistics Coordinator:

Parsons is looking for an amazingly talented Logistic Coordinator to join Qiddiya’s Tree Procurement Unit! In this role you will be working with the QIC Horticulture team to ensure the efficient and safe transport, delivery, and storage of trees on-site. This role requires strong organizational skills, and experience managing logistics in large construction projects. The Logistics Coordinator will work closely with multiple stakeholders to ensure that the project progresses smoothly and on time while maintaining budget and safety standards.

What You’ll Be Doing:

1. Shipment Coordination and Delivery Management:
   • Plan and coordinate the transportation of trees, materials, equipment, and supplies to the project site, ensuring all deliveries are on time and meeting project schedules.
   • Coordinate with shipping companies, contractors, suppliers, and vendors to ensure smooth delivery and unloading processes.
   • Manage the customs clearance and transportation logistics for any international shipments, ensuring compliance with relevant security and transportation regulations.
2. On-Site Inventory and Materials Management:
   • Oversee the organization, storage, and movement of materials on-site, ensuring proper inventory management and preventing stockouts or delays in the Projects schedule.
   • Work with the project team to ensure that the right trees and materials are available when needed and properly stored in compliance with safety regulations.
   • Maintain and update detailed records of all trees, materials, and equipment delivered to and used on-site.
3. Logistics Documentation and Reporting:
   • Ensure all logistics-related documentation is accurate and completed in a timely manner, including shipment tracking, delivery receipts, bills of lading, and customs documents.
   • Prepare regular logistics reports for project managers and senior leadership, including updates on inventory, cost control, and any potential delays.
   • Track delivery schedules and make adjustments to ensure that project timelines are adhered to.
4. Site Access and Security Management:
   • Coordinate to ensure proper clearance for trees, materials, and equipment entering the site.
   • Ensure all shipments comply with security protocols, including access control and safety requirements for sensitive areas.
   • Work closely with security teams to monitor the movement of goods into and out of the project site and ensure compliance with local and international aviation regulations.
5. Stakeholder Coordination and Communication:
   • Communicate effectively with internal project teams, contractors, and suppliers to ensure alignment and resolve any logistical challenges.
   • Act as the primary point of contact for all logistical inquiries related to the supply chain & construction projects, ensuring quick response times and resolution of issues.
   • Facilitate communication between various departments to ensure the seamless movement of goods and equipment.
6. Risk Management and Safety Compliance:
   • Identify and mitigate potential logistics risks related to transportation delays, weather disruptions, or other unforeseen circumstances.
   • Ensure compliance with safety protocols and health and safety standards in all logistics activities. This will require some visits to the sources of trees, palms, and materials.
   • Monitor all handling, storage, and transportation of trees & materials to ensure safety standards are met and minimize risk to QIC, the project, and personnel.
7. Cost Management and Optimization:
   • Work with the procurement and project management teams to optimize transportation and storage costs.
   • Identify opportunities for cost savings in logistics operations while maintaining efficiency and compliance with project schedules.
   • Ensure that logistics activities stay within budget and report any significant changes or deviations to senior management.

What Required Skills You’ll Bring:

• Bachelor’s degree in Logistics, Supply Chain Management, Civil Engineering, or a related field.
• Minimum of 5+ years of logistics or supply chain management experience, preferably in construction-related projects.
• Proven experience in managing large-scale logistics operations.
• Experience with coordinating shipments, managing inventory, and ensuring compliance with safety and regulatory standards.
• Skills & Knowledge:
  • Strong understanding of logistics and transportation management.
  • Proficiency in logistics software, such as transportation management systems (TMS), and advanced skills in Microsoft Office (Excel, Word, PowerPoint).
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet tight deadlines.
  • Strong communication and interpersonal skills, with the ability to collaborate with internal and external stakeholders.
  • Ability to solve problems quickly and adapt to changing project requirements.

What Desired Skills You’ll Bring:

• Prior experience in live plant logistics is a plus.
• Certification in logistics or supply chain management (e.g., APICS, CLTD, or similar).
• Experience with project management software and tools.
• Knowledge of international transportation regulations and customs compliance.
• Driver's license valid for KSA.
