Litigation Legal Assistant for mid sized law firm client, North York.

Job Type: Full Time Permanent.

Compensation: From $55,000 per annum to $65,0000 per annum plus benefits.

Regular Work Hours: 7.0 hours per day not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (35.0 work hours per week).

Work Location: Hybrid - combination of 2 days remote-based and 3 days onsite at client's North York office, with free parking provided. Onsite work expectations subject always to client business requirements, and may change according to client business need.

Responsibilities Summary:

Provide legal administrative support services to a busy commercial litigation, bankruptcy and insolvency, and commercial collections legal team, supporting between 1 to 3 lawyers as required, and utilizing strong organizational skills, a solid understanding of litigation processes, and experience working with commercial creditors and insolvency matters.

  • Prepare, draft, revise, and format legal documents including Statements of Claim, Motions, Affidavits, Bankruptcy Applications, and Notices of Garnishment.
  • File court documents with Ontario courts (including Superior Court and Small Claims Court) using electronic filing systems.
  • Open, organize, and maintain litigation and insolvency files, including managing client information and document tracking.
  • Manage deadlines and limitation periods using a tickler system or calendar.
  • Schedule court dates, examinations, mediations, and meetings with clients or trustees.
  • Communicate professionally with clients, debtors, opposing counsel, court staff, process servers, and collection agencies.
  • Assist with collections efforts by tracking debtor payments, preparing default notices, and coordinating enforcement actions.
  • Support lawyers with trial or hearing preparation, including creating briefs, exhibits, and court books.
  • Perform administrative tasks such as client intake, time entry, billing, file closing, scanning, and file archiving.
  • Additional legal, administrative and clerical support responsibilities as required.

Qualifications:

Education: Legal Assistant Diploma or equivalent certification.

Preferred Work Experience: Approximately 4+ years of experience supporting a commercial litigation practice, with a focus on bankruptcy, insolvency, or commercial collections.

Preferred Sector Experience: Law firm experience preferred.

Technical and Language Skills Requirements:

  • Advanced proficiency in MSOffice applications including Word, Excel, Outlook and Teams (will be tested).
  • Fast and accurate typing skills (will be tested).
  • Sound knowledge of Canadian legal terminology (will be tested).
  • Strong English communication skills, including advanced level business writing skills, advanced level reading comprehension skills, and excellent spelling, grammar, proofreading and syntax (will be tested), and polished and professional telephone manners.
  • Verbal fluency in additional language(s) an asset.

  • Familiarity with Ontario Rules of Civil Procedure, Bankruptcy and Insolvency Act, and enforcement procedures
  • Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
  • Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
  • Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively for self and others, meet tight deadlines and work well under pressure.
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.

Additional Requirements:

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work both remotely and onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of position responsibilities.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
