Job Description

Raymond James Independent Financial Services, Filo Financial Solutions is seeking a Licensed Assistant to work in our Calgary location. Raymond James Ltd. is one of Canada’s leading independent investment dealers offering high-quality investment products and services to Canadians seeking customized solutions to their wealth management needs.

Drawing on at least two years previous experience as a Licensed Administrative Assistant in a financial services firm, the candidate must have meticulous attention to detail, possess a positive attitude, and have exceptional interpersonal skills, as they will be dealing directly with clients. The successful candidate must also be responsible, self-motivated, and a team player.

This position’s primary focus is to assist Financial Advisors in building their business using strong administration, communication, and interpersonal skills.

Specifically, you will:

  1. Process and follow-up on security transactions, transfers, and account openings;
  2. Manage incoming and outgoing phone calls with clients;
  3. Foster and support client relationships; ability to help develop and build business;
  4. Open accounts and manage all documentation requirements;
  5. Update accounts and create bi-annual portfolio reviews;
  6. Foster and support client relationships by liaising with clients, responding to requests, and proactive problem solving;
  7. Be involved in preparing correspondence and reports, event planning, and coordination;
  8. Review and process all cheques, banking, and stock certificates from clients;
  9. Maintain Financial Advisor files and other general office duties;
  10. Data entry for financial plans;
  11. Cover office phone lines and respond to general inquiries;
  12. Coordinate office supplies;
  13. Perform project-based work and basic marketing.

To qualify for this opportunity, you possess:

  1. A minimum of 2 years investment industry experience or post-secondary equivalent;
  2. Completion of the Canadian Securities course as well as the Conducts and Practices Handbook; WME is preferable but not required;
  3. Insurance license is an asset but not required;
  4. Experience with Dataphile or equivalent transaction software is a definite asset;
  5. Superior customer service skills;
  6. Proficiency with Microsoft Office (Word, Excel, PowerPoint & Outlook), and contact management software;
  7. The ability to handle confidential information;
  8. Excellent verbal and written communication skills;
  9. The ability to work in a team environment and demonstrate a professional and friendly manner;
  10. Strong organizational and problem-solving skills;
  11. Meticulous attention to detail, ability to work under deadlines.
