Job summary

Weirfoulds is seeking a Legal Talent Coordinator to support performance reviews, recruitment, onboarding and training for our legal talent program. You will work with the Director of Legal Talent and the PD Team to manage calendars, events and cross-functional initiatives across HR, IT, Finance and Facilities.

Key duties include organizing review processes, posting for associates and students, coordinating open houses and career fairs, and handling onboarding materials.

Qualifications

  • Experience in HR coordination, recruitment support, or professional services is preferred.
  • Strong project management and organizational abilities are essential.
  • Proficiency with Microsoft Office Suite and comfort with new systems is required.
  • Familiarity with Vi recruiting software is a strong asset.

Overview

The Legal Talent Coordinator plays a critical role in shaping the experience of our Legal Talent (Students, Law Clerks, Associates and Income Partners) working closely with the Director of Legal Talent and Manager of Professional Development (together, the PD Team). You will assist with key activities such as performance reviews, recruitment, onboarding, and training, all while collaborating with cross-functional teams across HR, IT, Finance, Facilities, Marketing and more. This is an exciting opportunity to manage diverse tasks, from financial reporting and data analysis to organizing engaging social events. This position requires exceptional organizational skills, strong attention to detail, and the ability to manage high-volume, time-sensitive tasks with professionalism and discretion.

Principal Duties & Responsibilities:
  1. Performance Reviews: Plan, organize and help manage the performance review processes for our Legal Talent including collecting feedback, scheduling review meetings, reviewing and compiling feedback, and assisting with preparing meeting materials for the Talent Committee.
  2. Lateral Recruitment: Assist with the recruitment process for Associates, drafting the job posting and working with HR to post in various forums, managing the application portal, scheduling interviews and being a point of contact for the candidates.
  3. Student Recruitment: Assist with the recruitment process for Students, including supporting the PD Team with organizing an open house and firm members’ attendance at career fairs, drafting the job posting and managing the application portal (which includes a high volume of applications by school), liaising with law schools regarding status of candidates, assembling review packages for lawyer volunteers, and scheduling interviews.
  4. Training, Onboarding & Orientation: Working with the PD Team and other members of business services to organize and coordinate all training activities for students and associates; prepare orientation schedules and onboarding materials for newly hired students and associates; liaise with various business services departments.
  5. Day-to-Day Program Management: Assist with ordinary course functions of the associate and student programs including managing the annual calendar and tracking deadlines; organizing engagement and social events led by the PD team, managing processes related to associate leaves, secondments and departures.
  6. General Administrative Tasks: Book meetings, manage calendars, draft email communications, and provide administrative and project management support on an as-needed basis. Manage expenses and invoices related to professional memberships, CPD programs and other talent-related costs.
Education/Knowledge and Experience:
  • Previous experience in professional services, HR coordination, legal administration, or recruitment support strongly preferred
  • Project management experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new systems.
  • Proficiency in Vi software (Eval, Recruit, etc.) considered to be a strong asset

Note: this role will require paid overtime at certain times of the year.

This is a new role.

The target salary range for this position is $50,000 – $60,000, commensurate with the successful candidate’s skills, experience, and qualifications.
