BLG in Ottawa is seeking a Legal Practice Assistant to coordinate workflows, manage calendars, and support lawyers and clients with document production and file management.

The role requires a Legal Assistant or Law Clerk Diploma or equivalent experience, bilingual French and English, and 3–5 years of legal experience, with strong MS Office skills and attention to detail.

You will engage in billing support and client communications while collaborating with the Team Leader on absences and coverage.

Purpose of the Role

The Legal Practice Assistant will take an active interest in, and obtain a thorough understanding of, all aspects of client requirements to provide exceptional service levels to the lawyers and our clients. The Legal Practice Assistant will act as workflow coordinator for other support services including delegating and reviewing the completion of document production, file management, copying/scanning work and other administrative work. This position is for an existing vacancy.

Key Responsibilities
  • Administrative
    • Manage calendars, ensuring they are up to date and reminding lawyers of meetings etc. on a daily basis Arrange meetings, book conference rooms, refreshments, check rooms prior to meetings etc. and liaise with other attendees, both internal and external Arrange for travel bookings and related details to be made through the support teams Arrange photocopying, printing, organizing couriers, sending out of letters, faxes etc. Arrange for files to be opened and closed, supervise general filing requirements and record keeping Coordinate/conduct research on conflict of interests Use effective systems to ensure that both short and long term tasks are completed within required timescales Support lawyers in marketing activities including involvement in preparation of pitches and presentations
  • Communication
    • Take internal and external telephone queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner Monitor post and/or e-mails and dealing with as appropriate and ensure that all client related correspondence is passed on to an appropriate lawyer if the relevant person is out of the office Liaise with administrative support departments on behalf of lawyers as required Liaise with the department’s Team Leader over any planned absences, arranging cover as necessary and communicating this to the relevant lawyers.
  • Client Relationship Management
    • Become an active part in the care of clients and be wholly familiar with contacts/clients Enter, maintain and update client details and relevant information in the Firm’s CRM contacts system Deal with basic client queries and general administration Arrange client meetings
  • Document Production
    • Check correspondence, attachments, documents, reports, presentations, faxes etc. produced by the Document Production team before they are passed to the relevant lawyer and undertake basic/minor amendments where appropriate Type urgent/short/confidential correspondence and emails Produce and maintain Excel spreadsheets as required
  • Financial - Billing
    • Assist lawyers in the daily entry and recording of their hours in the system Assist lawyers and Practice Group Billing Coordinator in the billing and credit control process by liaising with the lawyer and accounts and to produce standard prebill financial/time reports through the system Request cheques, bank transfers and paying in money received, as appropriate Send invoices to clients with the appropriate supporting documents
  • Other Duties and Responsibilities
    • In addition to providing support to the lawyer(s) to whom they report, a Practice Assistant will also provide assistance to their immediate colleagues in the department and, where practical, other departments. Team duties will therefore include: Assisting other members of the firm, both proactively and at the request of the Team Leader Any other duties as requested by the Lawyers or Team Leader
  • Key Competencies
    • Legal Assistant or Law Clerk Diploma or equivalent experience; Perfectly bilingual in French and English, written and spoken is an asset Minimum 3 to 5 years of legal experience Mandatory experience in litigation, ideally in Labour and Employment Proficiency in MS Office (excellent knowledge of advanced functions in Word); Ability to communicate in a professional manner with clients and lawyers; Ability to interact professionally with clients and all members of the firm; Strong organizational skills and time management skills; Self-starter who can work with minimal instruction/supervision; Detail-oriented individual with good proofreading skills; Excellent multi-tasking skills; Ability to follow instructions with minimal supervision and take initiative; Able to set priorities while maintaining flexibility; A team player with excellent interpersonal skills.

    • Répondre aux demandes téléphoniques internes et externes, en acheminant en temps opportun les messages aux personnes appropriées.
    • Surveiller le courrier ou les courriels et prendre les mesures nécessaires; voir à ce que la correspondance qui concerne un client soit transmise à l’avocat·e concerné·e ou, en son absence, à la personne désignée.
    • Au besoin, communiquer au nom des avocat·es avec les services de soutien administratif.
    • Communiquer avec les responsables d’équipe quant aux absences prévues, trouver des remplaçant·es au besoin et transmettre l’information aux avocat·es touchés.
  • Gestion des relations avec les clients
    • S’occuper proactivement des besoins des clients et être au fait des contacts importants.
    • Saisir, maintenir et actualiser les renseignements relatifs aux clients dans le système de gestion des contacts du cabinet (CRM).
    • Répondre aux demandes courantes des clients et aux questions générales ayant trait à l’administration.
    • Organiser les rencontres avec les clients.
  • Production de documents
    • Vérifier notamment la correspondance, les pièces jointes, les documents, les rapports, les présentations et les télécopies que produit le Centre de production de documents avant que les avocat·es les reçoivent, et apporter des modifications mineures au besoin.
    • Taper la correspondance et les courriels confidentiels, urgents ou brefs.
    • Produire des feuilles de calcul Excel et les tenir à jour, au besoin.
  • Tâches financières – Facturation
    • Aider les avocat·es à consigner quotidiennement leurs heures dans le système.
    • Aider les avocat·es et le/la coordonnateur·rice de la facturation attitré·e au groupe de pratique concerné dans le cadre du processus de facturation et de contrôle du crédit en communiquant avec l’avocat·e visé·e et les responsables des comptes, et produire, au moyen du système, des rapports standards de facturation préliminaire.
    • Faire des demandes de chèques, de virements bancaires et de versements, au besoin.
    • Envoyer les factures aux clients, avec les pièces justificatives appropriées.
  • Autres fonctions et responsabilités
    • En plus d’appuyer l’avocat·e ou les avocat·es à qui elle rend compte, la personne retenue aidera ses collègues immédiats et, lorsque l’occasion s’y prête, ses collègues d’autres services, le tout de manière proactive et lorsque son/sa responsable d’équipe le demande.
    • Mener à bien toute autre tâche selon les directives des avocat·es ou de son/sa responsable d’équipe.
  • Principales exigences
    • Diplôme d’adjoint·e ou de commis juridique ou expérience équivalente
    • Bilinguisme français-anglais autant à l’oral qu’à l’écrit
    • De 3 à 5 ans d’expérience dans le domaine du droit
    • Expérience en litige, de préférence en droit du travail et de l’emploi
    • Maîtrise des applications de la suite Office, notamment des fonctions avancées de Word
    • Capacité à communiquer de manière professionnelle avec les clients, les avocat·es et les autres membres du cabinet
    • Excellent sens de l’organisation et de la gestion du temps
    • Capacité à travailler avec peu d’instructions/de supervision
    • Souci du détail et solides compétences en correction d’épreuves
    • Excellentes compétences pour ce qui est de mener plusieurs tâches de front
    • Capacité à suivre des directives moyennant peu de supervision et à prendre des initiatives

The expected salary range for this position is $55,000 - $70,000, depending on level of experience, region/location, and other factors.
