We are a small but dynamic law firm in Toronto, seeking a proactive and organized Legal Office Administrator. This role is ideal for someone who thrives in a fast-paced environment and is comfortable managing both administrative and legal support tasks with minimal supervision.
Responsibilities:
Client Intake & Legal Assistance
Conduct initial client intake and ensure proper documentation.
Assist lawyers with legal documents, correspondence, and case management.
Maintain and organize confidential client files.
Perform basic legal research and communicate case updates to clients.
Office Administration
Maintain office supplies, kitchen, and boardrooms.
Handle mail, couriers, and reception voicemail.
Monitor printer functionality and liaise with building maintenance.
Manage boardroom bookings and coordinate catering when needed.
General Support
Answer phone calls and manage calendars.
Assist with firm events and client appreciation initiatives.
Handle additional administrative tasks as assigned.
Qualifications:
Previous experience in office administration and/or legal assistance preferred.
Strong organizational and multitasking skills.
Excellent written and verbal communication.
Proficiency in Microsoft Office and legal case management software is an asset.
Ability to work independently with minimal supervision.
Attention to detail and ability to handle confidential information.
