Legal Executive Assistant (Tax and Estates)

Salary: Up to $85K

Key Responsibilities
  1. Assist with the preparation of correspondence and legal documents related to taxation and estate planning, including complex wills, family trusts, and estate administration.
  2. Manage and ensure the timely handling of sensitive documents.
  3. Organize, open, manage, and close client files efficiently.
  4. Prepare reports concerning estate planning and corporate reorganizations.
  5. Enter dockets and process monthly accounts accurately.
  6. Maintain tickler systems to monitor key dates for task management.
  7. Schedule meetings and coordinate appointments, ensuring the lawyer’s calendar is current, including adding, rescheduling events, and providing daily briefings.
  8. Serve as a point of contact for communications, including calls, emails, and document exchanges with clients and vendors.
  9. Plan and organize internal firm events, such as lawyer and client gatherings.
  10. Perform other duties as assigned.
Qualifications
  1. Successful completion of a Legal Assistant program at a recognized community college.
  2. Minimum of 5 years’ experience as a Tax & Estates Legal Assistant in a law firm.
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  4. Working knowledge of Adobe/Kofax PDF, DocuSign, Workshare Compare, Closing Folders, CorpLink, and Carpe Diem.
  5. Experience with document management systems, e.g., iManage.
  6. Strong organizational and time management skills to handle multiple priorities and meet deadlines.
  7. Excellent communication and interpersonal skills to build relationships and deliver exceptional client service.
  8. Self-motivated, able to work independently and collaboratively.
  9. High accuracy, attention to detail, good judgment, and discretion.
  10. Ability to respond constructively to feedback.
