We are currently seeking an experienced Legal Executive Assistant to support the Managing Partner. This position may be based out of either our Head Office or Downtown Toronto office, depending on the successful candidate’s preference. The ideal candidate will have at least three years of experience in a legal or professional services environment and be comfortable managing schedules, coordinating meetings and travel, and overseeing day-to-day practice administration with professionalism and discretion.

Responsibilities:

  • Support the Managing Partner with day-to-day administrative needs, including calendar management, meeting scheduling, and coordinating travel and logistics.
  • Manage administrative functions related to legal practice, including file opening and closure, docket entries, client list updates, billing coordination, expense processing, and invoice payments in accordance with firm accounting policies.
  • Prepare financial statements and reports and assist with basic bookkeeping tasks.
  • Act as a liaison between the Managing Partner and internal/external stakeholders, screening and responding to inquiries as appropriate.
  • Support meeting preparation, including the creation of agendas, compiling briefing materials, and tracking action items.
  • Maintain an organized and up-to-date filing system for client and administrative matters.
  • Handle confidential information with discretion and professionalism at all times.

Qualifications:

  • Post-secondary education in legal administration or business administration (or equivalent).
  • Minimum of three years’ experience supporting senior-level professionals in a legal, professional services, or corporate environment.
  • Strong organizational skills with the ability to anticipate needs and manage competing priorities.
  • Excellent written and verbal communication skills.
  • Experience with Ecore and MinuteBox is considered an asset.
  • Experience using legal accounting software, preferably ProLaw, for billing, file openings, and matter management is considered an asset.
  • Demonstrated professionalism, discretion, and sound judgment.
  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint); experience with legal practice management tools is an asset.
  • Able to work independently while contributing to a collaborative environment.
