Legal Assistant, Litigation
Essential Functions :
Legal Administrative Support
- Provides comprehensive legal administrative support, including drafting legal documents, managing client correspondence, and overseeing billing processes.Supports a broad range of practice areas, including health law, wills and estate litigation and employment law.
- Manage scheduling, meetings, and travel arrangements for assigned lawyers, ensuring seamless coordination tailored to individual practices.
- Builds and maintains strong, professional relationships with clients, lawyers, and staff to ensure effective service delivery.
- Performs general administrative and office duties to support daily operations.
Executive Support to Managing Partner
- Delivers high-level executive support, including managing confidential communications, strategic calendar oversight, travel planning, and leadership meeting coordination.
- Assists with firm-wide marketing initiatives, including preparing promotional materials and coordinating campaign activities.
- Maintains organized and secure physical and electronic filing systems to support confidentiality and ease of access.
- Promotes a collaborative and engaged team environment on behalf of the Managing Partner.
Practice Group & CMPA Operations Support
- Oversee Health Law Practice Group logistics, including meeting coordination, agenda preparation, speaker arrangements, and catering.
- Prepares and maintains monthly trust accounting reports related to CMPA files, ensuring accuracy and compliance with regulatory standards.
- Coordinates logistics for professional events, including conference registrations, travel arrangements, and related communications.
- Supports CMPA practice development and client engagement initiatives through effective administrative and operational support.
Qualifications :
- Post-secondary education from an accredited Legal Assistant program and / or equivalent experience
- Minimum 5 years’ experience in a legal support position; experience in Litigation an asset
- Proficient with computers, particularly Microsoft Office (Outlook, Word, Excel)
- Demonstrates a high level of professionalism, confidentiality and discretion
- Highly organized and able to prioritize workload
- Excellent attention to detail
- Self-motivated
- Responds to everyday tasks with little supervision and take ownership of the role
- A strong team player; demonstration of a positive work ethic
- Excellent verbal and written communication skills
