Main Responsibilities- Prepare through transcription of written or recorded documents, standard legal documents i.e. correspondence, factums, motions, summonses, etc.
- Draft standard legal documents, correspondence, and pleadings for review by lawyer(s). Edit grammar, punctuation, and spelling as needed.
- Exercise initiative and judgment in Lawyer's absence, i.e. negotiate extensions of time. Prioritize and respond to diverse incoming communications.
- Provide client service to both internal and external clients.
- Manage Lawyer's calendar i.e., schedule appointments, coordinate appearances.
- Answer a wide variety of telephone inquiries based on knowledge of case. Respond to inquiries exercising good judgment and discretion.
- Respond to written or telephone inquiries with a standard letter. Compose and prepare routine inquiries.
- Establish, maintain and when necessary, revise lawyer's files.
- Assist in the development and maintenance of standard office precedents and procedures.
- Perform additional duties as requested such as arranging medical exams, reception relief, maintaining lists of witnesses, subpoenas, fees, etc., requesting fees for payment from Claims department, participating in arranging lawyer's files for easy access during trials, informing witnesses of scheduled court appearances, maintaining Law Library, and other miscellaneous duties as may be assigned.
- Adhere to appropriate ethics of the role; follow and comply with company policies and methodologies.
- Ensure information is provided and shared with appropriate individuals in a timely fashion.
- General administrative duties including: photocopying, filing, mail, etc.
- Responsible for answering questions or providing guidance for less experienced legal assistants.
Qualifications- College diploma in legal secretarial and 3+ years of litigation experience
- Ability to proof and edit legal documents
- You are a motivated self-starter with the capability to work productively under pressure
- Excellent oral and written communication skills
- Strong interpersonal and client service skills, professional and positive demeanor
- Superior organization and priority setting skills, strong work ethic, and ability to multi-task
- Ability to be conceptual and possess creative problem-solving skills
- Intermediate MS Office skills; knowledge of standard office equipment and word processing
