The Legal Administrative Assistant will provide administrative assistance and clerical support to the VP, Legal Affairs, General Counsel, and CCO on matters related to the corporate and transactional aspects of business operations.

Essential Duties and Responsibilities:

  1. Maintain physical and electronic versions of minute books and corporate records.
  2. Support acquisitions and reorganizations.
  3. Assist in preparing and filing corporate documents with federal and provincial governments (incorporation, registration, amendments, annual reports, etc.).
  4. Assist with special projects and other administrative tasks.
  5. Conduct searches of various government databases.
  6. Coordinate and escalate requests received in the common mailbox and monitor their status.
  7. Perform data entry and document formatting.
  8. Update corporate information sheets.

Required Skills/Abilities:

  • Proven time management skills.
  • Ability to manage a heavy workload in a high-pressure environment.
  • Ability to work effectively in a team.
  • Good management of time and priorities.
  • Detail-oriented with a commitment to high-quality service.
  • Autonomy, judgment, and strong organizational skills.
  • Good knowledge of Microsoft Office suite, including Teams and SharePoint.
  • Bilingual in French and English.
  • Discretion and confidentiality.

Education and Experience:

  • Attestation of Collegial Studies (ACS) in legal secretarial studies, Diploma of Collegial Studies (DCS) in office systems technology, or related qualifications such as a Diploma in paralegal technology or a Law Certificate are assets.
  • Minimum of 4 years of relevant experience in a company or law firm.

Security Clearance Requirements / CGP / ITAR:

Position requires the ability to gain access to the Canadian Controlled Goods Program.
