Job description

We are looking for an experienced and reliable Legal Administrative Assistant to join our team! This position provides legal administrative support services to the Liquids Pipelines and Gas Transmission & Midstream Canada (LP GTM Canada) Law Department and staff members in Calgary, including one Vice President, two Associate General Counsels, four lawyers, four paralegals and three regulatory staff with respect to a broad range of legal, regulatory, and administrative matters in multiple jurisdictions.

The incumbent is expected to deliver high quality administrative support and related work product while being efficient, timely, and maintain strict confidentiality and professionalism, all to enable effective and efficient day-to-day business activities of the Enbridge Law Department. What You Will Do

Provide word processing and related administrative support by drafting, proofreading, and revising legal documentation, correspondence, presentations, and other documents.

Organize, schedule and coordinate meetings (in person and virtual), appointments, make travel and hospitality arrangements, and various other functions as requested, including updating and maintaining calendars.

Coordinate time-sensitive printing, quality check and submission of electronically filed submissions to government regulators.

Attend at government regulators as required to file hard copy only filings of regulatory documents.

Complete regulatory legal tasks such as document preparation, regulatory e-filings, monitoring of external regulatory websites, recording information in databases, and generally maintaining voluminous electronic and paper records of regulatory records filed.

Assist with hearings, including preparation of hearing binders, witness preparation binders and other hearing related tasks as required.

Responsible for coding, processing, and tracking external counsel and other Law Department invoices, as well as maintaining Excel spreadsheets and timely processing of information in Law Department’s electronic database (TeamConnect) for internal and budgetary use.

Assist with and prepare reports for monthly and quarterly accruals of external counsel fees/expenses.

Coordinate and assist with employee office moves (phones, computers, furniture, files, etc.) and new employee onboarding (badge requests, computer/cell phone/ corporate cards, etc.).

Liaise with various internal departments on Enbridge policies, processes, and systems.

Prepare, submit, and process expense reports electronically in accordance with deadlines.

Provide basic technical support on Enbridge systems and applications.

Handle and distribute incoming and outgoing correspondence, facsimiles, mail, and couriers.

Other duties and support functions as assigned.

Who You Are

A motivated individual with a minimum of 5 years of legal administrative experience in a law department, law firm or comparable office environment.

Have post-secondary education, preferably a Legal or Administrative Assistant Diploma.

Ability to work independently on demanding/varying workloads and meet tight deadlines.

Ability to identify issues related to matter administration and e-billing and determine the best solution in accordance with Company policies, guidelines, and systems.

Must possess initiative, sound judgment, respect for confidentiality, strong organizational and time management skills.

A team player with exceptional interpersonal, communication (written and oral) and people skills.

Proficient in Microsoft Office Package (Word, Excel, PowerPoint, SharePoint, Visio), working knowledge of Adobe Acrobat Pro and TeamConnect an asset.

Able to quickly learn other information management systems and processes and assist staff in the Law Department with basic technology issues.

Able to maintain a positive and enthusiastic approach to work even when competing priorities and tight timelines exist.

Availability and willingness to work limited overtime, when necessary.

Working Conditions:

This position works in a fast-paced office and hearing environment.

Heavy workloads at times, requiring production of accurate work on a very short timeline.

Overtime occasionally required.
