Description

The assistant provides administrative support to two partners of the Calgary office. He / she works in collaboration with the administrative support team and responds to ad hoc requests, based on the needs of all members of the firm.

Work Arrangement

This is an in-office position with some optionality for remote work on an ad hoc basis.

Key Responsibilities

  • Draft and edit correspondence, letters, agreements, and other documents.
  • Respond to inquiries and billing follow-up.
  • Perform banking and real-estate transactions from start to finish.
  • Management of calendar, customer lists, files, and billing.
  • Photocopying, scanning and archiving documents.
  • Organization of travel and meetings.
  • Management of lawyers' expense accounts, invoices, and time sheets.
  • Execution of various administrative tasks as required by the firm.
  • Follow-up on administrative exchanges with the firm's other offices.
  • Perform administrative tasks such as receiving new business, creating expense reports and data entry.
  • Update and ensure the accuracy of the organization's databases.
  • Perform general procedural tasks related to the firm's activities, such as obtaining tax identification numbers.
  • Conduct searches relevant to the needs of the transaction.

Key Qualifications

  • Minimum of two years of experience of relevant experience or other experience in a corporate work environment.
  • Ability to work well under pressure in a high-performance environment.
  • Strong technical proficiency with Microsoft Office suite.
  • Exceptional (written and verbal) communication and interpersonal skills.
  • Excellent organizational and time management skills.
  • Strong attention to detail.
  • Ability to work independently and take initiative.
  • Motivated and eager to learn, adaptable and professional.
  • Knowledge of Real Estate and / or financial lending transactions (an asset).
  • Knowledge of any of SEDAR+, SPIN II, Cores and APPRES an asset.
  • Ability to multitask.
  • Strong Professionalism to interact with clients.
