Job Description:

Accountabilities:

  • Organize and be involved in recruitment, selection, intake and orientation of students
  • Participate in the orientation and training of new staff
  • Monitor program expenditures
  • Record and report activities, behaviors and any incidents which occur during the shift.
  • Keep accurate documentation as to program vehicle usage and maintenance
  • Ensure facility is kept in accordance with agency policies and procedures and the requirements of all funders (where applicable)
  • Maintains professional affiliations to enhance professional development
  • Remain current on Winnipeg labour market trends and the most effective job search strategies, techniques and monitoring of marketplace trends
  • Manage student funds and ensure recording of purchases under the direction of the Director of Outreach Services. (as applicable)
  • Familiarize and inform staff of agency policies and procedures; support, and implement and guide others in the application into daily tasks
  • As required and applicable, make suggestions that will improve efficiency, working conditions or procedures to Director of Outreach Services

Safety

  • Monitoring health and safety processes to assist and ensure processes, standards, and guidelines are being followed so that students and staff live and work in a safe environment
  • Ensure compliance with all safety rules and regulations are being adhered to by all, including but not limited to; working alone, food, medications, equipment, storage and maintenance
  • Provide crisis intervention for students as required.
  • Conduct checks to ensure the safety of the facility and students throughout their shifts
  • Understand and promote students’ rights and responsibilities
  • Provide transportation to and from various locations while demonstrating safe driving skills
  • Follow all traffic laws while driving defensively to ensure safety
  • Report personnel and student concerns promptly to Director of Outreach Services
  • Promote proper lifting, twisting, and reaching techniques during job performance
  • Use PPE provided when necessary

Health and Medical

  • Ensure individual’s health and medical needs are accurately attended to in a timely fashion, and that all medication is properly administered and recorded (where applicable)
  • Recognize and report concerns of abuse or neglect
  • Provide emotional support for students as required
  • Report personnel and student concerns promptly to Director of Outreach Services

Person Centred Plans

  • Be involved in implementing and monitoring individual plans
  • Provide individuals with support in pre-planning by providing a mechanism to gather information on an individual's goals and desired outcomes.
  • Communicate necessary information and maintain positive relationships with other agencies or programs

Individual Personal Development

  • Encourage and assist each individual to participate in daily activities, in employment and in the community including reinforcing work and community expectations, personal hygiene, meal preparation, grocery shopping, laundry and the care of the facility and grounds.
  • Ensure opportunities match the individual’s desires, skills and abilities (activities, employment, volunteer, etc.)
  • Provide feedback from opportunities as applicable for the purpose of skill growth
  • Ensure the environment of the program is supportive, nurturing and encourages a high degree of student involvement including decision making
  • Model appropriate behaviour and attitude supporting growth and promoting independence for the students.

Public Relations and Communication

  • Contribute to ensuring the wise use of student and program resources
  • Develop engagement opportunities to assist individuals in developing positive social interactions with their community
  • Develop and maintain relationships with a variety of business and industry representatives to promote and ensure successful partnerships, maintaining an up-to-date database and tracking system
  • Ensures all contact with others is courteous and professional
  • Treat all students and staff with respect and dignity at all times.

Administration & Finance:

  • Complete program inventories annually as per agency policies (where applicable).
  • Ensure completion and secure storage of records and documentation in accordance with agency policies and procedures and the IRCC, Service Canada and Province of Manitoba requirements.
  • Perform necessary housekeeping duties and report any maintenance issues as they arise.
  • Completes reports as required by funder (where applicable)

Program Development

  • Assist the Director in creating, managing, and facilitating appropriate activities, special events and spiritual care programs according to student interest, skill, and ability levels, providing support, input, and recommendations, as applicable
  • Promote social interaction and personal development.
  • Ensure all necessary components and any required documentation is completed for assigned activities.

Other Duties as Required

MANAGERIAL/Technical Leadership RESPONSIBILITY :

  • Reports directly to the Director of Outreach Services
  • Responsible for own time and effort
  • Direct Reports for this position: Instructors, Resource Specialists
  • In consultation with the Director of Outreach Services, the incumbent provides supervision and guidance offering feedback, investigating issues, resolving conflicts and generally building an effective team.
  • Participate in staff meeting and training opportunities
  • Assists the Director of Outreach Services in developing agenda for staff meetings
  • Responsible for participating in orientation and training for new staff to the services offered within the program and for managing performance
  • As required and applicable, make suggestions that will improve efficiency, working conditions or procedures to Director of Outreach Services

FINANCIAL AND MATERIALS MANAGEMENT:

  • Contributes in ensuring wise use of student and program resources
  • May be authorized to spend, disburse, or collect small amounts of cash (as applicable)
  • Monitor individual expenditures (where applicable)
  • Manage student funds and ensure recording of purchases under the direction of the Director of Outreach Services
  • Complete individual and program inventories annually as per agency policies (as applicable)
  • Ensure completion of secure storage or records and documentation in accordance with agency policies and procedures and in accordance with the funder’s requirements

WORKING CONDITIONS:

  • The incumbent’s typical work environment is a combination of on-line and in person class program facility with minor to moderate amounts of office work and off-site meetings.
  • Significant amounts of work accompanying students into the community.
  • Working conditions may include dealing with verbal abuse, angry or abusive people.
  • The incumbent may have little to moderate travel required.
  • Moderate exposure to hazards: domestic cleaning supplies; handling of waste (garbage), bodily fluids/wastes, sharp objects, dirt/dust/odor, hot equipment (ovens, stoves, etc.).
  • Minor to moderate exposure to hazards: physical attack from students, and traffic accidents when driving
  • Minor exposure to hazards: infectious diseases, toxic chemicals, scabies, lice and/or bed bugs, emergency response situations (fire, bomb threat, etc.) and other potentially dangerous situations
