Job summary

Medallion Corporation in Canada is seeking a Leasing & Admin professional to join the property management team. You will respond to inquiries, conduct tours, process applications and leases, and coordinate move-ins to ensure residents have a smooth experience.

The role supports the Superintendent, Maintenance Team, and Property Manager while maintaining accurate records and delivering excellent customer service.

Qualifications

  • Minimum 2 years in a customer service or sales role.

  • Strong sales and closing skills.
  • Proficiency with MS Word and Excel.

Responsibilities

  • Respond to leasing inquiries via email, phone, and walk-ins.
  • Conduct community tours for prospects.
  • Manage and execute lease paperwork and references.
  • Coordinate with site teams for seamless move-in experience.
  • Ensure turnover and move-in inspections are complete and on date.
  • Prepare leasing reporting and monitor market trends.

About the Position

Our Leasing & Admin work together with our management team members and are responsible for Leasing our available suites to prospects looking for a place to call home.

Key Responsibilities

Leasing:

  • Respond to all leasing inquiries through email, telephone calls and walk-in traffic
  • Conduct Community Tours
  • Manage and execute all related paperwork, reference calls, and follow up as required
  • Coordinates with our site teams to ensure a seamless move-in experience for our residents
  • Coordinates with our management and site team members to complete turnover and move-in suite inspections to ensure all suites are completely ready for residents to move-in on agreed date
  • Prepare leasing reporting as required
  • Keep up to date with competitive trends and offerings through continuous market analysis and routine competitor evaluations.

Administration:

  • Manage administrative duties related to application processing and lease administration using online systems and Yardi software.
  • Maintain and safeguard resident information in compliance with privacy policies and regulations.
  • Ensure deposits are collected, processed, and accurately recorded in the property management system within required timelines.
  • Coordinate the assignment of resident parking spaces, visitor parking, and storage lockers.
  • Oversee the administration of sublets, lease assignments, and termination notices.
  • Prepare and issue rental payment reminders through follow-up calls, written notices, and in-person communication as needed.
  • Address resident concerns promptly and escalation issues when appropriate.
  • Provide ongoing administrative assistance to support daily property operations.
  • Keep the office environment organized, professional, and well maintained.
  • Other tasks needed to support Superintendent, Maintenance Team or Property Manager.

Qualifications

  • Minimum 2 years in a customer service, sales-related role
  • Professional and service-oriented approach to daily duties
  • Ability to multi-task and work well under pressure
  • Strong sales and closing related skills
  • Computer experience with Microsoft Office, specifically Word and Excel
  • Desire to work with people and the ability to remain customer focused in a fast paced and constantly changing environment
  • Adaptable, organized and flexible - the ability to handle different problems as they occur
  • Ability to work evening and Saturdays as required
