Job summary

The Ontario Medical Association is seeking a Procurement Administrator to support corporate procurement operations and ensure policy compliance. You will work under the Director of Procurement to provide administrative and coordination support across the procurement lifecycle.

Qualifications

  • University degree in Business Administration, Supply Chain Management, or a related field.
  • Four to five years of relevant procurement experience.
  • Understanding of procurement and contract law is an asset.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with Microsoft Dynamics 365 Business Centre is an asset.
  • Strong communication skills, with the ability to convey information clearly, concisely, and in a timely manner.

Responsibilities

  • Collaborate with cross-functional teams to support and coordinate activities throughout the procurement lifecycle.
  • Coordinate vendor meetings, presentations, and other engagement activities.
  • Assist with the preparation and review of procurement documentation, including RFx (RFP, RFQ, RFI), contracts, and related materials.
  • Assist client departments through the procurement process, ensuring compliance with organizational policies and procedures.
  • Facilitate contract execution by coordinating with organizational signing authorities and vendor representatives.
  • Maintain accurate and organized pre- and post-award contract files in accordance with procurement procedures.
  • Liaise with client departments to manage contract amendments, renewals, and related activities.
  • Track, update, and maintain the contracts database to ensure accuracy, completeness, and data integrity.
  • Participate in the testing and implementation of new financial information system (FIS) solutions related to procurement

Job summary

Requirements that are important to us
  • University degree in Business Administration, Supply Chain Management, or a related field
  • Four to five years of relevant experience, including demonstrated ability to assist with complex, competitive procurement processes.
  • Understanding of procurement law and contract law, as well as information systems, is an asset
  • Proficiency in Microsoft Office, particularly Excel
  • Experience with Microsoft Dynamics 365 Business Centre is an asset
  • Strong communication skills, with the ability to convey information clearly, concisely, and in a timely manner

The OMA has moved to a permanent hybrid work environment. As such, the individual in this position will be required to work a minimum number of days in our Toronto office.
