PRIMARY FUNCTION:

Represents the Lawyer Support Department as the first point of contact for external lawyers and third-party vendors working on legal aid referrals. Provides end-to-end support during the contract cycle, including: new lawyer orientation, helpdesk support for inquiries regarding tariffs, contracts, billing, technical support for lawyer portal, and assessment of extraordinary billing requests in areas such as Criminal, CFCSA, Immigration, Family, Judicial Appeals, Duty Counsel, Circuit Court, disbursements, and transcripts.

The following duties are illustrative and not exhaustive:

DUTIES:

  1. Review, process, and assess invoices for accuracy: including approving or denying extraordinary invoices, ensuring compliance with policies, and communicating with lawyers about invoice status.
  2. Provide helpdesk support: assist lawyers with the Lawyer Portal, troubleshoot technical issues, and respond to inquiries related to billing, policies, and case management.
  3. Process lawyer applications and support onboarding/offboarding: review applications, coordinate system access, conduct onboarding meetings, and exit interviews.
  4. Perform administrative duties: attend meetings, draft correspondence, assist with recruitment, update procedures, and maintain manuals.
  5. Perform other related duties as required: liaise with internal and external stakeholders.

QUALIFICATIONS:

Basic Requirements: Grade 12 plus legal courses, 2+ years relevant experience, 30 WPM typing, intermediate MS Word, basic MS Excel, or equivalent.

Rated Requirements: Knowledge of legal processes, policies, tariffs, billing practices, technical tools, and case management systems. Skills in problem-solving, workload management, communication, and adaptability. Ability to work independently and with teams, and handle demanding situations.

Skills testing may be required in Office applications, spelling, typing, and written assessments.

Employment is conditional upon criminal record and security clearances.
