About Us

The Kimberley Alpine Team is a ski organization dedicated to developing young athletes through competitive and recreational ski programs. With a strong community focus and a passion for sport, we aim to deliver excellence both on and off the slopes.

Position Overview

We are seeking a highly organized and proactive Program Administrator to manage the day-to-day administrative operations of our ski team. Reporting directly to the Board of Directors, this role is crucial to ensuring the seamless coordination of registrations, events, payroll, financial tracking, and communication with families and staff.

Key Responsibilities

Team Administration

  • Manage athlete registrations and maintain accurate records.
  • Coordinate travel logistics and team accommodations.
  • Organize meetings, events, and maintain the team calendar.
  • Process payroll for coaches and team staff.

Financial Administration

  • Issue invoices and process payments.
  • Monitor the team’s budget and track expenses.
  • Prepare financial reports and assist with financial compliance.

Event Coordination

  • Register the team for ski events and coordinate all related logistics.
  • Ensure deadlines and requirements are met for successful participation.
  • Communicate event details to athletes and parents.

Communication & Parent Relations

  • Serve as the main contact for parent inquiries.
  • Manage the team email inbox.
  • Disseminate timely and clear communication to all stakeholders.
  • Foster a positive and service-oriented atmosphere.

Additional Information

  • This role may require some evening/weekend availability during peak season (January-April).
  • On-hill presence during major events or training days is beneficial but not mandatory.
  • Flexibility in hours and hybrid work options are available.

Requirements

Qualifications & Skills

  • Post-secondary education in business administration or a related field preferred.
  • Administrative experience, ideally in a non-profit or sport-based organization.
  • Strong financial acumen with basic accounting and budget management experience.
  • Proficiency in Microsoft Office (Excel, Outlook); TeamSnap experience is a strong asset.
  • Excellent planning, organizational, and time-management skills.
  • Clear and effective communicator, both written and verbal.
  • Comfortable working independently and managing multiple priorities.
  • Familiarity with skiing or outdoor sports organizations is an asset.
