Position Summary

Reporting to the Director – Infrastructure Planning & Redevelopment, the Junior Project Manager will provide project management expertise and support through all phases of planning, procurement, design, construction execution, closeout and move-in for all redevelopment work associated with Midtown and Chicopee campuses. The Junior Project Manager will work with internal and external stakeholders to ensure project activities remain on schedule, effectively coordinated, well documented and appropriately resourced. The role will be a key liaison and supportive link between redevelopment team members to coordinate integrated priorities, ensure project dependencies are identified and documented, and to support effective risk identification and mitigation.

Responsibilities

The Junior Project Manager will be responsible to:

  • Develop, implement, and maintain a robust project document control system and methodology to ensure all key planning decisions, project documentation, rationale, assumptions and changes/issues are tracked, reported and resolved
  • In collaboration with the Director and Managers support the team in the maintenance and coordination of the project roadmap and ensure dependencies, deadlines and milestones are achieved and risks are identified, mitigated and escalated
  • Compile, prioritize and organize project deliverables to ensure timely completion in accordance with project activity timelines and the project roadmap
  • Liaise closely with the Service Planning & Operational Readiness team to coordinate broader Redevelopment team meetings, activities and events
  • Coordinate and support planning groups (e.g. user groups, working groups, task groups, subject matter experts, consultants etc.) throughout the project phases to ensure the required participants are engaged and that scheduling maximizes collaboration, reduces duplication and accounts for dependencies and synergies across work streams
  • Create and update presentations, briefing notes, reference resources, process flows, etc. in collaboration with redevelopment team members
  • Assist with the preparation and issuance of regular project progress reports
  • Prepare and distribute meeting agendas and minutes for team meetings, steering committee and/or working groups and others as required.
  • Issues purchase orders and order material as required
  • Other duties as assigned by the Director

Position Requirements

  • An undergraduate degree in Project Management, Architecture, Engineering and/or relevant program.
  • A minimum of 3 years of experience leading, coordinating and prioritizing the deliverables of cross-functional, complex projects and teams (within a healthcare setting will be considered an asset)
  • Demonstrated experience developing, implementing, maintaining and evaluating project management infrastructure, such as document control methodologies, roadmaps, templates, reports, scorecards, etc.
  • Demonstrated knowledge of performance measurement, quality improvement and risk management; ability to identify project risks, communicate effectively and mitigate/escalate appropriately
  • Excellent consultation, facilitation, negotiation, problem solving and collaboration skills with an exhibited ability to gain timely consensus and alignment of multiple impacted and interested parties
  • Demonstrated experience with project budget planning, cost controls, reporting, data interpretation and analysis
  • Demonstrated ability to conduct all duties and responsibilities in a manner that is consistent with the mission, vision and values of WRHN and a commitment to promote positive relationships when dealing with patients, families, visitors, volunteers, staff, professional and external partners
  • Demonstrated ability to foster a collaborative team environment and provide support to team members
  • Excellent organizational and time management skills
  • Demonstrated ability to be a proactive self-starter, flexible and adaptive to changing needs, and thrive autonomously in a complex, dynamic and at times ambiguous environment is essential
  • Proficient in MS Office Suite including MS Word, Excel, MS Project, MS Visio and SharePoint

Preferred Requirements

Candidates will stand out if they also have:

  • Formal training and/or certification in project management e.g. Project Management Professional (PMP)
  • Graduate degree in a related discipline
  • Experience in healthcare capital projects, knowledge of the Ministry of Health Capital Planning Process and/or large scale infrastructure projects
  • Proven ability to understand construction contract terminology will be considered an asset
