Position Summary
Lowell High School Vancouver is seeking a dedicated and detail-oriented recent college or university graduate to join our administrative team as a Junior Bookkeeper and Assistant Registrar. This entry-level role offers the opportunity to gain hands-on experience in both accounting and educational administration. A key focus of the position will be supporting the accurate and secure management of student academic records and administrative tasks that help ensure smooth school operations.
Key Responsibilities
Bookkeeping Responsibilities:
- Assist with recording daily financial transactions including student deposits, tracking and following up all accounts receivables, such as updating fee schedules, issuing tuition invoices and receipts, and organize all accounts payables such as bill payments, purchases (school outings, field trip, uniform orders, Compass Cards, school supplies, etc.), benefits and services (MSP, group benefits), promotion and commissions, and reimbursements, etc.
- Maintain accurate and organized financial records for the above transactions, and documentation in compliance with school policies.
- Assist with monthly bank reconciliations and provide support to senior bookkeeper with preparation of basic financial reports.
Assistant Registrar Responsibilities
- Manage all student data using MyEdBC, SSW and SLD (web-based programs) for enrolment, student information, attendance, class lists, grades/transcripts, etc.
- Manage electronic transfer of student data to MOE, including student grades for courses, via the MOE’s SSW, to make TRAX data transfers, register students for provincial assessments, and other related tasks.
- Manage the SLD, MOE web-based system, to complete all necessary forms (1601,1701, etc.).
- Prepare students' Report Cards at the end of each semester quarter.
- Responsible for organizing and updating physical files.
- Assist the Principal with Ministry of Education and Child Care annual inspection.
Qualifications
- Recent graduate with a diploma or degree in Business Administration, Accounting, Education Administration, or a related field.
- Strong organizational skills with excellent attention to details.
- Proficient in Microsoft Office Suite, especially Excel and Word.
- Ability to handle sensitive and confidential information with integrity.
- Strong communication and interpersonal skills.
- Willingness to learn and grow in a fast-paced environment of a secondary school with associated offshore schools outside of Canada.
Assets (Preferred But Not Required)
- Familiarity with student information systems (SIS) and accounting software (e.g., Simply Accounting).
- Previous experience in a school or educational setting (e.g., co-op, internship).
- Knowledge of BC High School Graduation System.
