Job description
Overview

The Citadel Theatre, one of Canada’s largest and busiest professional, not-for-profit theatre companies and facilities, is currently seeking a Payroll/HR Administrator. Reporting to the Director of Finance, with a dotted reporting line to the Human Resources Manager, the Payroll/HR Administrator will be essential for processing payroll information, determining pay and benefit entitlements, and source deductions for employees, as well as providing Human Resources support.

Key Accountabilities

PAYROLL

  • Full cycle payroll for union and non-union staff, including maintaining a weekly and bi-weekly payroll schedule.
  • Provide administration of multiple payroll and remittance accounts in compliance with legislated policies and procedures.
  • Process time data entry, Record of Employment (ROEs), pay advices, and T4s/T4As; reviewing for compliance and accuracy.
  • Administer end-to-end payroll activities, including payroll data entry, verification, calculations, and reconciliation.
  • Input onboarding paperwork, changes in compensation rates, and terminations from the system.
  • Support payroll activities in accordance with governing bodies and provincial standards and legislation.
  • Maintain payroll files in an accurate and comprehensive filing system.
  • Other duties as required.

HUMAN RESOURCES

  • Providing support to the Human Resources Manager for employee life cycle management from recruitment through to offboarding such as orientation, training & development, progressive discipline, and offboarding.
  • Assist with the development, tracking, auditing, and continuous improvement of HR processes.
  • Administer group benefit enrollments, including addition of family member & updates within the benefit provider’s web portal.
  • Assist in recruitment efforts, including posting job openings, scheduling interviews, and coordinating candidate communication.
  • Support employee onboarding and offboarding processes, including orientation sessions and paperwork completion.
  • Assist with maintaining and improving HR related administrative templates.
  • Other duties as required.
Required Qualifications

Education: Diploma in Accounting, Finance, Business Administration, Human Resources or a related field of study, or a combination of equivalent experience and education.

Experience: 2 years of experience in a comprehensive payroll or HR position.

Skills:

  • In-depth knowledge of payroll regulations, tax laws, and employment standards.
  • Proficiency using payroll software and systems.
  • Proficiency in the Microsoft Office Suite of products, including Word, Excel, and PowerPoint.
  • Strong communication and problem-solving skills.
Desired Qualifications

Certification or training in payroll administration (e.g., Payroll Compliance Professional (PCP))

Experience with Sage 300 or other payroll management systems.

Additional Requirements

Must be flexible to work occasional evenings and weekends.
