TalentWorld is seeking an organized and proactive Administrative Assistant to join our team. If you have 2-3 years of experience in administrative roles, strong communication skills, and the ability to multitask in a fast-paced environment, we want to hear from you! Job Responsibilities:

  • Handle and process expense reports and tenant allowance payments in a timely and accurate manner.
  • Accept, track, and coordinate incoming physical mail, ensuring critical documents like ministry-issued cheques are directed appropriately to accounting.
  • Assist with AP-related tasks, including invoice tracking, vendor correspondence, and documentation management.
  • Schedule, organize, and support meetings with internal teams and external stakeholders, ensuring logistics and materials are prepared.
  • Book and manage travel logistics for the VP and Directors, including flights, accommodations, and itineraries.
  • Provide in-person support at least three days per week and on an ad hoc basis as required for meetings or urgent administrative needs.
Job Qualifications:
  • Minimum 2 years of experience in an administrative or office support role, preferably in a corporate or construction/development environment.
  • Demonstrated ability to manage multiple tasks with precision, particularly in handling mail, payments, and sensitive documents.
  • Strong written and verbal communication skills, with the ability to interact professionally with senior leadership and external stakeholders.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, Teams); familiarity with expense and AP systems is an asset.
  • Ability to work in-office at least 3 days per week and provide support during key meetings or as urgent needs arise.
  • Capable of handling confidential information with integrity and exercising sound judgment in a fast-paced environment.
Employment Details:
  • Salary: Competitive
  • Benefits: 40 Hours Weekly (3 days on-site, 2 days WFH )
  • Duration: 3 months of contract with possibility of conversion
  • Schedule: Monday to Friday, 8:00am – 4:00pm EST OR 9:00am to 5:00pm
  • Location: Toronto, ON
