Responsibilities
- Create a positive and professional first impression for all office visitors and interactions.
- Manage inbound communications (phone, email, in-person) with prompt and accurate responses.
- Maintain office cleanliness, supplies, and troubleshoot office equipment as needed.
- Provide administrative support to internal departments, including managing client files and mailings.
- Handle office security protocols, conference room scheduling, and building maintenance coordination.
- Perform mail duties, bank deposits, and calendar management for appointments and events.
- Coordinate and manage sales educational events while serving as a backup for personal insurance and financial services inquiries.
Qualifications
- Experience in office management, phone system coordination, and scheduling.
- Proficiency in Microsoft Office Suite, CRM systems, and administrative tools.
- Ability to work independently while managing input from multiple stakeholders.
- Strong verbal and written communication skills with a professional demeanor.
- Team-oriented with the ability to thrive in a fast-paced, evolving environment.
- Skilled in client interactions, ensuring first-call resolution and positive experiences.
- Maintains confidentiality and upholds company values with confidence and integrity.
Additional Information
This job requires presence in the office on a hybrid schedule as agreed with the manager.
