INFORMATION TECHNOLOGY SERVICES (ITS)

ITS provides UNB with professional information and communication technology services, leadership, and expertise to ensure the UNB community can achieve its goals with the support of the best technologies of today and advances of tomorrow. The IT Services Unit provides the following services: IT Service Desk, On-site IT Support, AV Design and Support, Professional Services, IT Hardware & Software Ordering and Tracking, Access Control, Web Development, UCard Services, Professional Print Services, Communication, and Service Education & Adoption.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm |36.25 hours per week

Additional Working Conditions

  • Required to participate in after-hours emergency response, if available.
  • May work occasional overtime or adjust work hours based on operational needs.
  • Must be able to lift up to 50 lbs and maneuver heavy items.

Salary Range: $46,981 - $58,736 per annum

YOUR FOCUS

Reporting to the Manager, the IT Purchasing & Lifecycle Specialist coordinates the full lifecycle of IT hardware and software purchasing on behalf of ITS. The role plays a key part in supporting the Computer Renewal Program (Evergreen), assisting with order planning, fulfillment, and internal distribution.

  • Coordinate the purchase and delivery of IT hardware and software by initiating requisitions, preparing quotes, tracking orders, and liaising with vendors to ensure timely and accurate delivery.
  • Review and process IT purchase requests in alignment with UNB and ITS procurement standards and technology guidelines.
  • Recommend appropriate hardware and software models based on client needs and established standards.
  • Receive, inspect, and verify IT shipments; identify and resolve discrepancies or damages with vendors and stakeholders.
  • Maintain and update IT asset records in tracking and inventory systems; ensure equipment is labeled, stored, and distributed efficiently.
  • Monitor inventory levels, initiate restocking, and organize storage areas to meet usage trends and operational timelines.
  • Support the Computer Renewal Program by coordinating orders, tracking deliveries, and organizing equipment distribution.
  • Provide up-to-date information for the ITS website and communications; manage client expectations and respond to order-related inquiries.
  • Identify opportunities to improve IT purchasing, receiving, and distribution processes.
  • Prepare and process procurement documents (requisitions, POs, invoices) in accordance with university financial procedures.
  • Track financial transactions, maintain organized records, and support budget reconciliation and audits.
  • Coordinate annual software renewals by tracking licensing needs, collecting responses, and liaising with vendors and end users.
  • Provide day-to-day administrative support including managing mail, deliveries, toner and paper supplies, and front desk inquiries.
  • Serve as a main contact for IT orders and inventory, offering clear communication on availability, delivery timelines, and exceptions.
  • Maintain internal service documentation and assist with ITS website content related to purchasing and inventory.
  • Recommend process improvements to enhance efficiency and client satisfaction; contribute insights to support change initiatives.
  • Participate in projects and team activities, demonstrating initiative, collaboration, and a positive, solutions-oriented attitude.
  • Build and maintain strong vendor relationships to support product availability, timely delivery, and efficient issue resolution.
  • Liaise with vendors on lead times, substitutions, returns, and service performance, escalating concerns as needed.

What You Bring

  • A college diploma (two-year program) in business administration, supply chain management, information technology, or a related field.
  • 2-5 years of experience in a procurement, purchasing, inventory management, or IT service coordination role-preferably within a large or complex organization.
  • A combination of equivalent education and experience may be considered.

Additional Strengths

  • Experience with vendor management and IT asset tracking systems is preferred.
  • Experience supporting IT service delivery or coordinating technology lifecycle processes is considered an asset.

  • Demonstrated flexibility and adaptability in a changing work environment
  • Familiarity with university purchasing policies and public sector procurement guidelines is considered an asset
  • Initiative and curiosity to learn about new technologies and evolving IT standards
