IT Business Office Admin

We're looking for a resourceful and organized problem solver to join our IT team in a hands-on role focused on procurement, inventory, and vendor coordination. Reporting to the Manager – IT Client Experience, you’ll be the go-to person for sourcing IT equipment, maintaining accurate records, and ensuring smooth operations within a fast-paced environment.

You’ll work closely with internal user communities, handling everything from placing and tracking orders to managing vendor relationships and updating systems. Your knack for staying organized and finding efficient solutions—whether it's sourcing the best deal or resolving a delivery issue—will be key to your success.

This role requires someone who isn’t afraid to learn on the fly, take on new challenges, and dive into documentation. Attention to detail, effective communication, and strong multitasking skills will help you thrive as you manage competing priorities while keeping processes transparent and on track.

The Successful Candidate's Responsibilities Will Include

  • Source and procure IT hardware (desktops, laptops, printers, peripherals) and software licenses, ensuring timely renewals and purchases.
  • Maintain vendor relationships—request quotes, negotiate terms, resolve delivery issues, and stay informed on new products and promotions.
  • Oversee and audit stockroom inventory, ensuring availability and accuracy of consumables like cables and adapters.
  • Manage IT assets, including hardware tracking, loaner equipment, and consumables, using ITSM tools and Excel for documentation and analysis.
  • Administer corporate mobile plans and oversee the printer fleet, including maintenance and replacements.
  • Use Office 365 tools (Excel, Teams, SharePoint) to support collaboration, procurement documentation, and financial tracking.
  • Create and track purchase orders, verify deliveries, and maintain accurate records for audit and reporting purposes.
  • Monitor procurement trends, provide feedback to leadership, and prepare reports on vendor performance, spending, and cost savings.

The Ideal Candidate For This Position Will Have

  • 2–3 years of experience in procurement, IT asset management, or technical support, preferably within an IT environment.
  • Familiarity with IT hardware and software procurement processes, including end-to-end purchase order management.
  • Solid understanding of IT hardware components, cabling types (Ethernet, HDMI, USB), and peripheral devices (printers, monitors, docking stations).
  • Experience with inventory tracking, financial reporting, and cost analysis; budget management experience is an asset.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities efficiently.
  • High attention to detail in maintaining procurement records, inventory accuracy, and financial data.
  • Knowledge of ITSM platforms for managing procurement workflows; experience with Atlassian Jira is a strong asset.
  • Proven ability to identify cost-saving opportunities and optimize purchasing strategies.
  • Excellent communication skills for collaborating with vendors and internal stakeholders.
  • Advanced Excel skills (formulas, pivot tables, data visualization) are considered a strong asset.
  • Comfortable training team members on procurement processes, policies, and tools.
