Job summary

Blake, Cassels & Graydon LLP is seeking a mid-level Legal Assistant with IP litigation experience to join the Litigation & Dispute Resolution practice in Toronto. The role is an 18-month contract focusing on managing lawyers' calendar and emails, drafting pleadings, and maintaining filing systems.

Responsibilities include preparing motion records, e-filing, reviewing prebills, and updating time and client records.

Qualifications

  • Legal assistant diploma required.
  • Minimum of three years of experience supporting legal professionals in a corporate environment.
  • Federal Court experience is required.

Responsibilities

  • Manage lawyers' email inboxes and calendars, book appointments, set up conference calls, monitor inboxes, e-file emails.
  • Draft pleadings and prepare motion records, books of authorities, affidavits of service, file court documents, and arrange examinations for discovery.
  • Maintain physical and electronic filing system; update documents in ACL and other systems.
  • Review prebills, monitor fee estimates, budgets and quarterly reporting; manage outside counsel guidelines and AR reports.
  • Open new matters in the intake system; prepare retainers and zero-rate forms; monitor time dockets in Intapp.
  • Prepare and revise PowerPoint presentations; update client information in InterAction; coordinate travel and CPD hours.

Job description

Blake, Cassels & Graydon LLP (Blakes), one of Canada's largest and most successful law firms, is currently looking for a mid-level Legal Assistant with intellectual property (IP) litigation experience to join the Litigation & Dispute Resolution practice group in the Toronto office. This position is an 18-month contract.

Primary responsibilities of the position include, but are not limited to:
  • Managing lawyers' email inboxes and calendars - booking appointments, setting up conference calls, monitoring email inboxes and responding as required, and e-filing emails
  • Drafting pleadings and preparing motion records, books of authorities and affidavits of service, arranging for filing of court documents, and booking examinations for discovery
  • Maintaining physical and electronic filing system
  • Entering, updating and generating documents in ACL
  • Reviewing and finalizing prebills and accounts, monitoring fee estimates, budgets and quarterly reporting, maintaining outside counsel guidelines, and conducting accounts receivable report prep and follow-up
  • Opening new matters in the business intake system, preparing zero-rate forms and retainer letters
  • Entering and closing time dockets in Intapp
  • Preparing and revising PowerPoint presentations
  • Updating client information in InterAction and updating lawyer profiles
  • Arranging travel, including car rentals, flights, hotels and conference registrations
  • Entering and monitoring lawyers' Continuing Professional Development (CPD) hours
Qualifications

Education & Experience:

  • Legal assistant diploma is required
  • Minimum of three years of experience supporting legal professionals in a corporate work environment
  • Federal Court experience is required

Skills & Abilities:

  • High proficiency in Microsoft Office, CMS, InterAction and ACL
  • Strong communication, organizational and time management skills
  • Exceptional attention to detail and the ability to exercise sound judgment
  • Ability to work both independently and collaboratively as part of a team
  • Ability to maintain a high level of confidentiality when interacting with internal and external clients
Compensation

The anticipated annual salary for the IP Litigation Legal Assistant position is $65,000-$75,000. Salary levels will be determined commensurate with internal equity, market equity and experience.
