Job description

JOB DESCRIPTION

As an invoicing specialist, your primary responsibilities will include updating, inputting, managing, and validating data loaded into the CRM system (Pipedrive). You will also prepare bank reconciliations, manage accounts receivable, and provide general office assistance as needed. The ideal candidate will be detail-oriented, organized, and self-motivated.

SOME OF YOUR RESPONSIBILITIES

  • Ensure accurate project data entry across multiple platforms, including the Sales CRM tool, production management software, and Excel sheets.
  • Track and record all CRM invoicing data in detail.
  • Manage the accounts receivable process.
  • Review client billings, ensure correct billing amounts, reconcile discrepancies, respond to client inquiries, and prepare invoice corrections.
  • Send weekly invoices to clients via QuickBooks Online.
  • Input customer and account data from source documents within specified timeframes.
  • Review data for errors or deficiencies, correct issues, and verify outputs.
  • Maintain data accuracy by reviewing, correcting, deleting, or re-entering data as needed.
  • Follow company policies and procedures, reporting any needed changes.
  • Protect customer information and maintain confidentiality.
  • Respond to information queries and access relevant files.
  • Adhere to data integrity and security policies.
  • Ensure proper use and maintenance of office equipment.

QUALIFICATIONS

  • 1-2 years of experience in a similar role.
  • Bachelor's degree in Finance or Accounting is preferred.
  • Proficiency in QuickBooks Online, MS Office, Excel, and Google Sheets.
  • Experience with Pipedrive is a plus.
  • Attention to detail and ability to follow procedures.
  • Openness to feedback and adaptability.
