Job summary

PPI Management Inc. is seeking an Investments Administrator to efficiently process segregated fund trades and provide essential administrative support. The role emphasizes compliant, accurate, timely tasks to ensure service levels for advisors are met.

With at least two years in the investment industry, you will manage data, follow up with carriers, and collaborate with advisors in a bilingual English-French environment, while handling confidential information with professionalism.

Qualifications

  • Minimum 2 years’ experience in the investment industry.
  • Desirable professional designations (FLMI, ACS, AIAA).
  • Strong organizational and time-management skills with ability to multi-task.
  • Accurate data entry and high attention to detail.
  • Excellent written and verbal communications skills.
  • Ability to work in a team and maintain professional relationships.
  • Able to handle confidential information discreetly.
  • Proficient in WealthServ and Microsoft Office programs.

Responsibilities

  • Process segregated fund trades, GICs and related investment products with carriers.
  • Own assigned files, ensure data quality and resolve urgency blockers.
  • Track pending transfers and follow up with carriers.
  • Follow up with advisors for missing information or discrepancies.
  • Resolve issues, questions or complaints related to investments.
  • Create new client accounts in WealthServ Investment System.
  • Manage incoming/outgoing Investments mail and service levels.
  • Support additional duties and special projects as needed.

Investments Administrator

The primary focus of the Investments Administrator is to effectively facilitate the processing of segregated fund trades and provide administrative support within the scope of the role, ensuring all tasks are processed in a compliant, accurate and timely manner to ensure service levels to advisors are maintained.

Key Responsibilities:

  • Facilitate the processing of segregated funds, GICs and other investment products with insurance carriers ensuring process protocols and service standards are consistently maintained.

  • Assume ownership of assigned files and quality of data, including recognizing any urgencies and assisting in the resolution of problems that may prevent a file from moving through the process as quickly as possible.

  • Track and follow-up on pending transfers with carriers.

  • Perform immediate follow-up with advisors regarding missing information, supporting documentation, information discrepancies and unclear instructions.

  • Effectively resolve any issues, questions or complaints as they pertain to investments.

  • Establish and facilitate new client accounts within the WealthServ Investment System.

  • Manage incoming and outgoing Investments mail to ensure all service standards are met.

  • Additional responsibilities, duties and special projects as identified.

Education, Experience and Skills:

  • A minimum of 2 years’ experience in the investment industry

  • Industry designations (FLMI, ACS, AIAA) desirable

  • Superior organizational and time management skills with demonstrated ability to effectively manage multiple tasks and responsibilities

  • Proven accuracy, attention to detail and data entry skills

  • Excellent written and verbal communication skills

  • Strong interpersonal skills with a demonstrated ability to develop and maintain relationships and work within a team environment

  • Ability to represent self, office and organization in a professional, positive manner at all times

  • Ability to handle sensitive and confidential information in a professional manner

  • Knowledge of WealthServ and Microsoft Office programs; Outlook, Word, Excel and PowerPoint in particular

  • Advanced level of the English and French language required as incumbent will need to collaborate with employees, advisors, carriers, vendors and internal stakeholders to provide coaching, communicate operational priorities, coordinate system and process changes, resolve escalated issues, and support day-to-day operations.

This role is for an existing position. The expected salary range for this position starts at $48,000 and will be commensurate with the candidate’s experience and skill set.
