Position Purpose

Reporting to the Senior Director of Information and Archives Management, the Information Management Specialist is responsible for enhancing the university's management of information assets, focusing on SharePoint Online collaboration sites, information classification, and digital content management. The role involves ensuring compliance with legislative and business requirements by providing guidance and support across departments.

Key Responsibilities
  1. Ensure the Information Management Program complies with legislative and business policies by providing guidance to all departments, ensuring application of policies, regulations, classification, and retention schedules.
  2. Assess information management practices across university units, implement best practices, and support effective management of paper and digital information assets.
  3. Design and execute migration plans for content from network drives, DocuShare, or OneDrive to SharePoint Online, ensuring proper classification, metadata, and compliance with retention schedules, and monitor ongoing use for compliance.
Qualifications and Skills
  • Degree in Information Sciences, Archival Studies, Library Science, or related experience.
  • Significant recent experience (within last 5 years) with IM services in M365 environment, especially SharePoint Online.
  • Knowledge of federal and provincial legislation related to IM.
  • Experience with lifecycle management of digital and paper information.
  • Familiarity with industry standards, best practices, and technological trends in IM.
  • Proven skills in requirements gathering, business process analysis, and stakeholder engagement.
  • Experience in change and project management, working independently and collaboratively.
  • Strong analytical, organizational, and problem-solving skills, with attention to detail.
  • Bilingual in French and English, with excellent communication skills.
  • Knowledge of copyright, intellectual property, FOIPOP legislation, and archival ethics.
