Qualifications

Our Winnipeg Tetra Tech office is currently seeking an Intermediate Administrative Assistant. The selected candidate will be responsible for coordinating the preparation and organization of multiple documents and deliverables according to internal and external client requirements and schedules. The Administrative Assistant will share duties with other administrative team members, including greeting clients, answering calls, and performing a variety of administrative and project tasks as assigned.

This position is a fixed-term opportunity for a duration of 12 months. There is potential for the role to transition into a permanent full-time position, contingent upon organizational needs and the successful candidate’s performance in the role.

Your Role:

  1. Format and produce technical documents, proposals, and other deliverables in electronic and hard copy formats.
  2. Prepare and review large format reports/proposals with table of contents, tables, headers/footers, and section breaks, using MS Word.
  3. Prepare and compile PDF files using Adobe Pro.
  4. Proofread and edit documents for spelling, grammar, consistency, punctuation, word choice, and readability.
  5. Assist with invoice coding, timesheet entry, expense report preparation, and travel booking.
  6. Provide general administrative support and guidance to project managers, engineers, and designers.
  7. Attend meetings and record and distribute meeting minutes.

Qualifications:

  1. A post-secondary degree or diploma in business or administration is preferable.
  2. Minimum of 5 years administrative experience, preferably with consulting engineering or project-related experience.
  3. Proficiency in Word, Teams, PowerPoint, Outlook, Excel, and Adobe Pro.
  4. Exceptional attention to detail.
  5. Confident and self-starter attitude.
  6. Ability to work with minimal supervision and as part of a team.
  7. Excellent written and oral communication skills.
