You will play a key role on the creative team and work closely with members of other teams in the agency on a variety of projects. You will manage the entire digital and print production process, from concept to delivery, ensuring that each project is carried out to the highest standards, on time, on budget, and in line with established specifications.

Requirements

  • 3+ years of experience in an advertising agency in a similar role
  • Excellent relationships and experience with local and national print production vendors.
  • In-depth knowledge of printing techniques, booth design, media planning, and digital-content management
  • Experience in video production is an asset
  • Bilingual (English and French), written and spoken (predominantly Anglophone clientele)

Main responsibilities

Integrated project production

  • Bring to life a variety of tactics from print (brochures, banners, posters, 3D, and other innovative print solutions) to digital (websites, apps, social networks, online banners) and video production (vendor and project management)
  • Manage media plans (digital and print)
  • Plan and ensure completion of all print and digital production phases to meet client deadlines
  • Occasionally attend client meetings to present project solutions

Print management

  • Understand/propose tools according to needs and oversee the complete management of print production files (production coordination with various vendors, knowledge of finishes, bindings, press options, screen printing, digital and laser production, and final verification/approvals)
  • Understand traditional printing techniques and communicate them to teams
  • Validate physical proofs of pieces and coordinate with the Client Services department
  • Manage deliveries according to distribution lists and optimize the process

Booth management

  • Manage booth requests and needs of teams, and work with selected vendor(s) to propose solutions
  • Provide specifications and templates to creative teams and forward final files to selected vendor(s). Approve mock-ups
  • Book all elements to ensure that a client’s presence at an event runs smoothly (transportation of the booth, set-up, teardown, electricity, carpeting, cleaning, etc.)
  • Make yourself available for physical approvals at the vendor’s location (metropolitan area), for booth set-up, and at events involving a booth to coordinate any necessary changes, bearing in mind that this may take place on evenings and weekends

Administrative, budget, and schedule management

  • Create production schedules and estimates; validate project feasibility with all departments involved
  • Ensure that production deadlines and budgets are respected
  • Obtain estimates from several vendors for each project; negotiate rates and find technical solutions based on situations
  • Define terms of payment for new vendors in line with the agency’s accounting cycles
  • Maintain invoice control and update budgets in collaboration with other project team members

Relationships with vendors

  • Research and select appropriate vendors for each task to be carried out
  • Explain projects that are being printed and negotiate the best rates with vendors (printers)
  • Organize presentations with potential vendors to stay up to date on the latest advancements in the industry
  • Manage agreements for purchasing copyrights, image rights, music, footage, fonts, video, AI, etc.
  • Gather technical specifications from vendors and validate them against media plans; transfer final specifications to graphic designers
