Insurance Defense Litigation Legal Assistant
Our client is seeking are seeking a detail-oriented and proactive Toronto based Legal Assistant to for performing clerical, administrative and general office duties for two associates.
Duties:
- Proactively and independently preparing documents to meet upcoming deadlines.
- Complexity of documents varies, but general instructions will be provided, and
precedents are to be followed. - Transcribes dictation of technical and/or confidential nature.
- Organizes and expedites the flow of work through the lawyer’s office, initiating follow-up action.
- Compose routine letters and memos from general instruction.
- Routes or answers routine correspondence not requiring the lawyer’s attention and
initiates follow-up action, as required. - Organize and maintain office files/records in accordance with firm’s procedures and
best practices. - Maintain Outlook calendar, ensures lawyer is kept abreast of upcoming
appointments/meetings/court filings/court proceeding dates. - Proper electronic filing of emails received for lawyer.
- Handle administrative detail with respect to accounting, opening and closing files,
docketing, billing, etc., as per firm protocols. - Prepares special reports which involves gathering and summarizing data.
- Liaises between the principal and various internal and external individuals, groups and
clients at all levels. - Abide by Firm policies including the policy on confidentiality
Qualifications:
- A minimum of 3 years’ experience in insurance defense, tort, liability, or accident benefits law.
- Proficiency in legal software (e.g., Clio, PCLaw, or equivalent).
- Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with e-filing systems and court protocols.
- Familiarity with accident benefits claims and insurance litigation strategies.
- Exceptional ability to prioritize tasks, manage time effectively, and meet strict deadlines.
- Acute attention to detail to ensure accuracy in documentation and filings.
- Strong written and verbal communication skills, with the ability to convey information clearly to clients and legal professionals.
- Professional demeanor when interacting with clients, opposing counsel, and insurance representatives.
- Comprehensive understanding of rules of civil procedure, court filing processes, and litigation timelines.
- Experience in preparing materials for examinations for discovery, mediations, and trials.
- Ability to thrive in a fast-paced, high-volume environment while managing multiple priorities.
- Self-motivated and able to anticipate the needs of the legal team proactively.
