Your opportunity:

Under the general direction of the Director, Administration and Finance and under the supervision of the Undergraduate Program Manager, the Undergraduate Instructional Support Administrator works collaboratively with the Undergraduate team to provide administrative support for students and faculty in the Department of Psychology's Undergraduate courses and programs. We are currently recruiting for two positions, #57397 and #57999.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Providing Quercus support and troubleshooting issues
  • Coordinating and administering course, exam, and ATS submissions/information on CIS
  • Coordinating missed term work and tests by liaising with students and instructors and collecting sensitive documentation
  • Tracking student absences
  • Coordinating the scheduling of make-up tests and test reviews
  • Coordinating and disseminating final exam information
  • Maintaining course information on student information systems
  • Coordinating the recruitment and training of assistant invigilators
  • Coordinating test and exam printing
  • Scanning test and exam scantron sheets
  • Organizing delivered and graded ATS, deferred tests/exams, and final exams
  • Updating and maintaining records

Essential Qualifications:

  • Advanced College Diploma (3 years) or an acceptable equivalent combination of education and recent and relevant experience.
  • Minimum two (2) years of related experience providing administrative support for an academic program in a post-secondary environment.
  • Experience providing support to University faculty, TAs, and staff in the coordination of undergraduate courses, including non-exhaustively coordinating the scheduling of make-up tests and test reviews, maintaining course information on the course information system, supporting year-end course evaluations.
  • Demonstrated experience proofreading and formatting lecture notes, lecture slides, tests and exams.
  • Experience working with and providing information to undergraduate students.
  • Demonstrated experience applying academic policies and processes.
  • Demonstrated ability to organize and plan meetings and events including scheduling and proctoring make-up assessments.
  • Advanced proficiency with a wide variety of software tools such as, Microsoft Office (including Excel, Word, Outlook and Access), OneDrive, and SharePoint.
  • Advanced proficiency with QUERCUS, ROSI, CIS, the LMS portal and Crowdmark.
  • Excellent verbal and written communication and interpersonal skills to effectively handle stakeholder interactions and support tasks such as student accommodation requests, proofreading course material, and assisting in the development of new syllabi and TA forms.
  • Excellent time management, prioritization and organizational skills, and the ability to work effectively within a team.
  • Strong customer service focus to appropriately support students, faculty, and other stakeholders.
  • Demonstrated awareness and application of equity, diversity, and inclusion principles as they pertain to students.
