THE OPPORTUNITY

The Information Management / FOIP Advisor is responsible for supporting the administration of the corporate information management and Freedom of Information and Protection of Privacy (FOIP) program and advancing the principles of information governance. A key focus area for this position will be the efficient and effective intake, processing and completion of Freedom of Information and Privacy (FOIP) requests; and the application and implementation of systems, policy and procedures for information management as well as the use of the information management software. This position reports to the Manager of Information Management / FOIP.

This is a full-time, permanent position. The salary range is : $86, to $102,

RESPONSIBILITIES

1. Freedom of Information and Protection of Privacy

  • Administer FOIP requests, including intake and processing.
  • Actively liaise with the Manager of Information Management / FOIP.
  • Work with the organization to ensure FOIP is integrated into information management at the City.
  • Provide advice to the organization with respect to collection of personal information.
  • Conduct Privacy Impact Assessments.

2. Information Management

  • Champion Information Management within the organization to heighten awareness and position the function as a key business resource by establishing credibility, integrity and executive presence.
  • Champion and administer life-cycle management of corporate data and information, including the annual records destruction, to ensure the information assets are secure throughout their lifecycle.
  • Support the develop plans, policies and implement strategies and processes for managing the City’s information assets in various formats and locations.
  • Provide advise for creating and implementing vital records and business continuity plans.
  • Support continuous improvement initiatives by identifying gaps, conducting assessments and creating business requirements for an effective Information management Program including assets and resources.
  • Support the development and definition of priorities for the implementation and monitoring of the strategic plan for the information management program using best practices to support and achieve long-range organization goals.
  • Conduct quality control on business processes to ensure compliance with Information Management processes, bylaws and best practices.
  • Respond to service requests including troubleshooting and solving problems regarding the information management software.

3. Client Relations

  • Manage vendor relationship with off-site records storage contractor.
  • Develop, update and administer information management / FOIP training to City staff as required for onboarding, and refresher training.
  • Develop, update and administer training to Department Records Coordinators.
  • Support City departments with Information Management tasks.
  • Provide advice and support to Department Records Coordinators.
  • Provide support to users of the City Information Management software, including user assistance, troubleshooting, software and upgrade requirements and “how to” assistance.
  • Monitor and maintain City’s Electronic Document Management software solution.
  • Identify information management and privacy risks to corporate governance with new technology initiatives.
  • Define information management and privacy requirements for City digital transformation initiatives.
  • Manage collection of statistical data and review for trending to assess digital transformation readiness.

5. Other Duties

  • Understand and adhere to City policies, procedures and standards, whether written or implied, as amended from time to time.
  • Contribute to a positive safety culture by always acting in a safe manner and complying with City safety policies and procedures for staff and contractors.
  • Act as a steward of the City’s Corporate Culture by following the “Values, We Live By”.
  • Perform other job-related duties.
